Reporting to the Vice-President, Regulatory Applications this position is responsible for the co-ordination and administration activities associated with the Vice-President’s office including; calendar management, project management, document control and creating senior level presentations. You will be the to” person for the group.
Major Responsibilities:
Provide administrative and technical assistance to the Vice-President, and Management Team of Regulatory Applications
Calendar Management for VP and Management team; prioritizing meeting requests, booking meetings/meeting rooms, preparing agendas and minutes to track action times
Email Management for VP; prioritizing the VP’s email and messages, knowing when to alert the VP to urgent matters, prepare and coordinate external correspondence as required and communicate advice and or direction on behalf of the VP with both internal and external business partners
Screen and process large volumes of operational and business correspondence and prepare draft responses, or respond directly on pre-determined matters
Create high-caliber presentations and proof and edit documents to maintain adherence to a high professional standard respecting all materials distributed by the department
Prepare and maintain project files
Financial responsibilities including
Assist in the development, preparation and reconciliation of Department Budget
Compile necessary information to accurately forecast budget figures for the department in conjunction with EPC as a whole
Assist in reconciliation of Vice President and Management Team’s leaders monthly credit card expense report statements applying knowledge of MAXIMO and Workday applications and accounting procedures
Process monthly procurement settlements, outside vendor invoices, supply orders, etc. to assure timely payment and compliance, accounting procedures, and budget constraints
Responsible for overall office management of the VP’s area including:
Coordinate on-and off-site meetings and events
Organize travel, conferences and course arrangements
Manage placement of new team members, including office and IT requirements
Assist with the onboarding of new staff
Participate in meetings and planning sessions
Other duties/projects as required
Education Required:
Possess a High School Diploma (or G.E.D.) and some post-secondary, supplemented by a minimum of 8 years
administrative experience with at least five years supporting senior management level
A certificate or diploma in business administration would be considered an asset
Qualifications & Experience:
Minimum of 8 years of related administrative experience
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint and Teams) are required
Competencies:
A demonstrated ability to maintain confidentiality with sensitive information using independent judgment and discretion
Experience in a fact paced, deadline driven, results-oriented, office environment would be an asset
Ability to conduct yourself professionally with various levels at ENMAX and external parties
Advanced organization with excellent written and verbal communication skills
Highly motivated, energetic with great attention to detail

Salary: Administrative Assistant Level E (Current CUPE 2021 rates)
70,901.01 – $75,344.72- $79,768.60- $84,212.31-$88,636.00

Although this role primarily works at ENMAX Place (141 – 50th Avenue SE, Calgary, AB), for now you’ll be required to work remotely.
