Your opportunity:

Hospitality & Ancillary Services provides a variety of services, including meal plans, to support the UTM community. This role will provide administrative support to the Hospitality & Ancillary Services department with specific focus on updating and maintaining student records in ROSI and in the department’s commerce management system as well as supporting the implementation of departmental marketing and communication plans. This position will also provide customer service for the department and help develop customer service documentation and training material. The role of the Assistant, Administrative Services will support the development and on-line posting of communications and marketing materials in support of departmental strategic initiatives. Finally, this position will provide critical backup to the department’s Financial Assistant for routine A/P and A/R in UTM’s Financial Information System and for routine cash/cheque deposits.

Your responsibilities will include:

  • Resolving issues within the scope of the role and escalating problems as required
  • Troubleshooting and resolving routine issues
  • Updating and maintaining records
  • Handling sensitive and/or confidential information
  • Generating reports
  • Disseminating information
  • Maintaining information on digital platforms
  • Verifying the accuracy of fees charged

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years of related administrative experience.
  • Experience using student information systems and financial information systems is required.
  • Experience monitoring and updating social media platforms for a business or organization is required.
  • Experience working with graphic design software (Adobe, etc) is considered an asset.
  • Knowledge and experience in developing and posting on-line communications and marketing materials.
  • Basic knowledge of accounting administration (accounts payable, accounts receivable, cash/cheque deposits).
  • Strong customer service orientation.
  • Strong administrative and organizational skills.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Accuracy and attention to detail.
  • High level of proficiency with Microsoft programs (Outlook, Word, Excel, PowerPoint, Access).
  • Proficiency with ROSI or comparable database information system.
  • Ability to deal with competing demands in a busy environment.
