This is accomplished across four geographic management zones which are responsible for the operation of acute care health centres and the provision of a variety of inpatient, outpatient services including academic, tertiary, quaternary care and community based programs and services including continuing care, primary health care, public health, and mental health and addictions.

Responsibilities

The Site Administrative Assistant is a key member supporting the daily operations of Valley Regional Hospital and provides confidential administrative support to this function as well as comprehensive administrative support to the Director by effectively coordinating the day-to-day operation of the Site and Director’s office. Primary responsibilities include dealing with sensitive and confidential information; responding to inquiries and fielding calls as necessary; preparing correspondence; scheduling appointments and meetings; drafting agendas, recording, transcribing and distributing minutes; maintaining databases and filing systems; and performing general office duties, such as initiating and responding to e-mails, processing mail, faxing, photocopying, ordering supplies, and other related duties as assigned. The Administrative Assistant exhibits sound professional judgment and initiative while working within the framework of the Vision, Mission, and Values of Nova Scotia Health. The position coordinates all administrative activities, and acts as a liaison with the administrative assistants across the Western Zone and the Health Authority. This position provides additional support to individuals, committees or working groups as assigned.

Qualifications

  • Post-Secondary diploma in a recognized office administration, business administration or secretarial program
  • Undergraduate degree an asset
  • International Association of Administrative Professionals (IAAP) certification is an asset
  • Minimum of five (5) to seven (7) years’ of progressively responsible experience, providing administrative support and office coordination at the executive level, preferably within a healthcare setting
  • Excellent interpersonal and communication skills, high degree of tact, judgment and confidentially
  • Excellent organizational and time management skills
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies (including Microsoft Office and Outlook)
  • Competencies in other languages an asset, French preferred

Hours of Work

  • Permanent Full Time; 75 hours bi-weekly
  • Commencing as soon as possible

Salary Information

$21.5442 – $26.9303 hourly
