Responsibilities
The OSI Clinic provides specialized mental health assessment and treatment to clients and their families referred by Veterans Affairs Canada (VAC),Royal Canadian Mounted Police (RCMP), and the Department of National Defense (DND), who are experiencing work-related psychological stress and trauma (e.g. Post-traumatic Stress Disorder, and other anxiety disorders; Depression; Chronic Pain, etc.). The services of the OSI Clinic are provided by an interdisciplinary team consisting of psychiatry, occupational therapy, psychologists, nurse clinicians and social work. Reporting to the Health Services Manager, the Clerk is the initial contact for the Dartmouth OSIC site and provides clerical support for site operations.
Reporting to the Health Services Manager, the Secretary provides administrative/secretarial support to the interdisciplinary team. This includes all Mental Health and Addictions professionals, primary care providers, Psychiatrists and the Health Services Manager. The Secretary provides a full range of administrative support to the team which may include but not limited to: taking minutes, preparing letters, and scheduling meetings and appointments. The Secretary works collaboratively with other support staff, mentioning when indicated; may be required to cover other position within clerical and admin support group. Ensures efficient and effective administrative support for quality consumer-focused services.
Qualifications
- Grade 12 plus graduate of a recognized office administration / business / secretarial program and/or a combination of education, training and progressively responsible experience required
- Minimum of one year of related secretarial experience required
- Knowledge of medical terminology, finance terminology and SAP an asset
- Experience with STAR registration system and PHS Scheduling System an asset.
- Experience working in a health care setting – specifically Mental Health and Addictions an asset
- Demonstrated typing proficiency with a speed of 60 wpm an asset
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook and a willingness to learn new computer programs
- Adaptable to change and is flexible to accommodate the expectations of the position
- Ability to work in a self-directed environment and also effectively within an interdisciplinary team
- Demonstrated excellent interpersonal, oral and written communication skills, including direct interaction with clients, staff and public
- Must be self-directed and adept at problem-solving, while working with minimal supervision
- Must have strong organizational skills that demonstrate the ability to prioritize upon short notice while maintaining attention to detail and accuracy
- Strong ability to communicate professionally both verbally and in writing while maintaining a sense of customer service
- Physical ability to perform duties of the position
- Commitment to maintain and protect patient, client, and personal safety on an ongoing basis
- Commitment to confidentiality and privacy of NSHA patients and clients

$20.25 – $22.50 Hourly
