You are a key team member supporting the work of management and other staff. You are responsible for clerical, receptionist, bookkeeping, and project-based work to contribute to the day-to-day operations of Ground Guys. Exemplifying our code of values, you show respect and courtesy to all customers and employees.

You are self-motivated, thrive in fast moving environments, and are able to manage time to effectively meet deadlines. You have proven communication skills with supervisors, employees, and customers and are able to effectively manage a variety of situations on a day-to-day basis.

The Position:

The Administrative Assistant will answer incoming calls, greets guests upon arrival at the office, reaches out to vendors and appropriate parties with repair requests, files, faxes, scans, receives and distributes the mail, orders office supplies and keeps cleaning supplies stocked. They assist in preparing payroll for processing. The Administrative Assistant works closely with management as well as the sales & production teams to ensure good flow of communication and data .

Key Performing metrics:
AR Aging Ratio, AP Aging Ratio, Timely Billing Processing, Timely Payroll Processing, Managing within the Budget, Audit Compliance, Contact Management Ratios & Employee Retention.

Specific Requirements:

  • Direct and coordinate the administrative services in the office
  • Perform administrative functions including billing, payable, sales tracking, project tracking and collection activity
  • Work closely with the sales & production teams to ensure good flow of communication and data
  • Maintain office staff by recruiting, selecting, orienting, coaching, counseling, and disciplining employees

Job Requirements:

  • Minimum two years admin experience
  • Previous experience in an administrative role
  • Strong written and verbal communication skills
  • Detail-oriented with strong data entry skills
  • Professional appearance and personality
  • Team player who can work independently
  • Must know how to work with Microsoft office
  • Must know how to use a computer fully and adjust to our software training
  • Experience with Quick-books Online
  • Organizational skills are a must
