The Department of Family and Community Medicine (DFCM) is recognized internationally for its clinical, educational and research excellence. Our faculty are clinical and academic leaders who are breaking new ground on issues ranging from inner city health, addiction medicine, global health, palliative care, immigrant and indigenous health, andfar more.
As Academic Promotions & Appointments Administrator, you will be the primary resource for all DFCM faculty seeking academic promotions and appointments. Reporting to the Faculty Development Program Director, you will promote and implement an outreach strategy to increase academic promotions and coordinate logistics for a range of activities. You will exemplify professional customer service by responding to multiple inquiries and providing information and advice. Your exceptional communication, meticulous attention to detail and organizational skills will contribute to the ongoing success of the academic promotions in the Department of Family and Community Medicine.
Your responsibilities will include:
- Coordinating processes for academic promotions, appointments, reappointments/renewals, ensuring completeness of documents
- Providing Information and advice for faculty seeking promotion
- Facilitating promotion and appointment information workshops and meetings
- Developing and implementing targeted outreach initiatives
- Keeping well-informed on policies, regulations and guidelines
- Providing committee support and facilitating workshops and focus groups
- Coordinating logistical details and activities for events and/or programming
Essential Qualifications:
- Bachelor’s Degree in Business Administration or acceptable combination of equivalent experience.
- Minimum five (5) years of related progressively responsible administrative experience, preferably in a University and/or hospital environment
- Demonstrated experience interpreting and processing the University’s academic appointments and promotions policies and procedures, and informing senior stakeholders accordingly
- Knowledge and familiarity with the University of Toronto’s Temerty Faculty of Medicine’s and affiliated hospital policies and procedures
- Experience writing and editing communication materials and preparing status reports
- Experience delivering and facilitating presentations and workshops
- Experience facilitating focus groups
- Demonstrated experience managing databases and generating reports
- Experience training and supervising the work of others
- Experience coordinating events and supporting committees
- Advanced proficiency in MS Office Suite, survey tools and content management systems
- Exceptional interpersonal and communication skills, both verbal and written
- Strong customer service skills; ability to work effectively with faculty members and other key stakeholders
- Ability to work professionally with confidential information
- Ability to interpret requirements and develop processes and procedures
- Critical thinking, interpersonal and organizational skills
- Ability to exercise initiative, tact, discretion, problem-solving skills and to work under pressure to meetdeadlines
- Ability to deal effectively with multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy and high quality
- Ability to work well independently but also as part of a team
Assets (Nonessential):
- Experience with HRIS, SuccessFactors, Laserfiche and FOCUS
- Knowledge of clinical (MD) faculty appointments and promotion policies
