This is accomplished across four geographic management zones which are responsible for the operation of acute care health centres and the provision of a variety of inpatient, outpatient services including academic, tertiary, quaternary care and community-based programs and services including continuing care, primary health care, public health, and mental health and addictions.

Responsibilities

Reporting to the Director of Compensation, Benefits & Western Zone People Services, the Administrative Assistant serves as the initial contact and resource person for the zone office of the Director, providing coordination of administrative operations and supports the People Services Team.

The Administrative Assistant supports the activities of the Director and the portfolio to focus on Nova Scotia Health strategic directions and portfolio goals and objectives, and provides additional support to zone and/or provincial individuals, committees or working groups as assigned. This role will also provide leadership and facilitation for the Zone General Orientation program in collaboration with the Talent and Organizational Development Consultant.

On an as needed basis, the incumbent may provide general administrative coverage in the absence of other administrative assistants reporting within the People Services Team. This position works closely with the Administrative Assistant to the Senior Director, Human Resources.

Qualifications

  • Post-Secondary diploma in a recognized office administration, business administration or secretarial program
  • Undergraduate degree is an asset
  • International Association of Administrative Professionals (IAAP) certification is an asset
  • Minimum of five (5) years of progressively responsible experience, providing administrative support and office coordination at senior level, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders.
  • Demonstrated knowledge and ability to use SAP is an asset.
  • Demonstrated excellent communication and interpersonal skills with a high degree of tact, judgement and confidentiality.
  • Ability to take and transcribe minutes and to work independently as well as part of a team.
  • Excellent organizational, follow-through and time management skills, with the ability to prioritize tasks and accurately management multiple priorities in a fast-paced, time-sensitive and highly confidential environment.
  • Demonstrated accountability, initiative, and ability to work independently.
  • Demonstrated ability to apply critical thinking, synthesize information, problem-solve and utilize good judgement in decision making. Ability to recognize sensitive issues and respond appropriately.
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies. Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information.

  • Permanent, Full-time position

Salary Information

$21.5442 – $26.9303 hourly
