Position Overview

The Construction Site Coordinator is a crucial team member whose primary responsibility is to ensure the day-to-day administrative operations of the construction site are executed seamlessly and effectively. Depending on the business cycle, secondary responsibilities will be to provide direct support to the Warranty Services team.

This position is key to supporting the various teams and trades involved on-site to coordinate the necessary people, equipment, and materials so collectively the project can achieve all deadlines, standards, and objectives.

They should be adept at problem-solving, have strong interpersonal skills and, be able to proactively navigate the complexities of construction projects to ensure the team is supported in the safe, consistent delivery of quality homes that are on time and budget.

Reporting Relationships

This role reports directly to the General Superintendent and will frequently coordinate with various project stakeholders, subcontractors, and internal teams (e.g. Warranty Services, Design Services)

Key Accountabilities

  • Issuance of Purchase Orders: Responsible for issuing Purchase Orders to all material suppliers, involving transactions worth millions of dollars in total.
  • Management of Records: Coordinating and maintaining up-to-date records of drawings and consultant revision notices.
  • Distribution of Drawings: Ensuring accurate and timely distribution of drawings to relevant trades.
  • Meeting Documentation: Recording and archiving site minutes of meetings.
  • Communication Assistance: Answering telephones and aiding in communications with the extensive group of contractors and consultants.
  • Clerical Duties: Supporting site management staff with various clerical responsibilities.
  • Timesheet Management: Ensuring all timesheets, for both Site Staff and Labourers, are prepared and dispatched to Payroll punctually.
  • Site Office Organization: Setting up and maintaining order within the site office, including setting up binders.
  • File Maintenance: Organizing and maintaining files related to purchasers’ suite customization, color choices, and other customizations.
  • Equipment Monitoring: Keeping track of Site Equipment and Small Equipment Rentals.
  • Tracking Concrete and Rebar: Monitoring and recording concrete and rebar counts and entries.
  • Document Distribution: Printing and distributing Colors, Purchase Agreements, and Deficiencies to on-site trades.
  • Newstar Management: Operate and manage Newstar, a deficiency tracking system, to ensure project tasks and defects are logged, tracked, and resolved in a timely manner.
  • Collaboration with Customer Experience Team & PDO Representatives: Work closely with the Customer Experience Team and PDO representatives for homeowner PDO inspections, ensuring that all concerns are addressed, and facilitate smooth closings.

  • Consistent adherence to safety and compliance guidelines with minimal incidents.
  • Positive feedback from team members, subcontractors, and the General Superintendent.
  • Efficient problem resolution with minimal delays.
  • Accuracy in administration of work orders, schedules, and processing of information.
  • Consistency in the quality of work, meeting or surpassing set standards.

Skills & Experience

  • Minimum of 3 years of experience within new home construction or related field (ie. Warranty Services, project management)
  • Strong knowledge of construction processes, equipment, and safety regulations.
  • Proficient in construction software and tools.
  • Excellent communication, both written and verbal, and interpersonal skills.
  • Ability to multitask and handle the pressure of tight deadlines.
  • Bachelor’s degree in construction management, Civil Engineering, or a related field is an asset.
