HIRING SALARY RANGE: $95,679.00 – $107,639.00 per annum

MAXIMUM OF SALARY RANGE: $119,599.00 per annum

AREA OF RESPONSIBILITY:

Reporting to the Manager of Facilities Services and Operations/Facilities Maintenance, the Facilities Operations Supervisor ensures the continuous operation of all downtown/satellite facilities, systems, structures and equipment while minimizing any impact to staff and/or clients. The Facilities Operations Supervisor works with a wide range of internal and external stakeholders to review workplace conditions in the family of facilities, from office space to parking structures.

Create, supervise and coordinate work assignments for the facility coordinators and facilities staff. Manages contractors to maintain an operational and safe working environment during construction, renovation and shutdowns. Ensures that facilities, equipment and the workplace are safe and functional and that corrective action is initiated and implemented as requested. Provides advice, guidance and direction to staff, customers, end-users and tenants.

OPERATIONS

  • Maintain the infrastructure of the family of facilities and programs that address the operational/maintenance requirements within budget.
  • Manage equipment operation and maintenance of assigned family of facilities
  • Investigate and resolve building system issues.
  • Ensuring all facilities are fully operational and according to corporate regulatory requirements and that legislative requirements are followed.
  • Prepare, implement and administer Service Agreements and operational plans to support Facility Management activities.
  • Coordinate facility projects on time as per project plans and budgets.
  • Tender vendors for work quotes. Ensure best value for dollar and have the corresponding P.O(s) created.
  • Manage Facilities budgets according to procedures and guidelines with regular reporting and monthly statistics
  • Ensure issues and escalations are properly addressed and maintain regular touch points with various stakeholders
  • Appoint and coordinate external contractors on-site for ongoing work with facility projects.
  • Supervises Events within the family of facilities
  • Budget cost requirements for internal/external repairs and general construction.
  • Manage the timely delivery of all building maintenance and operational programs through in-house and/or third party vendor services including: preventative and demand maintenance, mailroom and courier/shipping and receiving, scheduling and booking of interior and exterior spaces, lease management/tenant services, and Capital Project implementation support
  • Review and provide recommendations for plans and specifications for City buildings and properties under construction and renovations.
  • Provide input and sign-off approval for all corporate properties when developing standards in areas such as renovation, design, construction, energy management, contract management, preventative maintenance and environmental standards.
  • Deliver a twenty-four hour, seven-day week emergency response system for building emergencies, equipment failures and occupant safety.
  • Prepare and make recommendations to the operating and capital budgets for the section.
  • Provide third party property management services to the Brampton Library Board.
  • Manage all lease agreement operational requirements for tenants and end-users within the family of buildings
  • Other Duties as assigned

CUSTOMER SERVICE AND RELATIONSHIP BUILDING

  • Partner with key internal stakeholders to coordinate all facility related tasks, renovations, and alterations due to changing needs of the business for designated locations.
  • Partner with vendors and landlord’s/property management to ensure services are being met and are updated on activities/changes within building.
  • Maintain a wide range of relationships with key suppliers and stakeholders, internal and external, regarding procurement and servicing of furniture and facility related equipment, janitorial and customer services and move coordination (including space planning and allocation), and building code compliance.

STAFF MANAGEMENT

  • Coach, develop and supervise a team of unionized and non-unionized operational and building services staff with respect to maintenance practices, specification writing, contract administration, project management, customer service relations, team effectiveness and continuous improvement.
  • Inspire enthusiasm, motivation and commitment of staff to achieve high levels of performance
  • Manage, guide and direct a workforce of unionized and part time staff;
  • Interview, recruit and ensures orientation of new employees.
  • Ensure staff and contractors comply with all code and legislated requirements (i.e.; Occupational Health and Safety Act).
  • Manage the Mail/Courier and Shipping/Receiving operations, as required
  • Schedule job requests, prepare written reports and project budget estimates, and assigns workloads.
  • Supervise and assesses the performance of a team
  • Manage documents and maintains site log books and all maintenance staff training needs.

SELECTION CRITERIA:

EDUCATION:

  • Post secondary degree in Business, Engineering or related field would be considered an asset.
  • Professional designation (Building Owners and Managers Association, International Facilities and Managers Association, Facilities Management or P. Eng.) would be considered an asset.
  • Completion of Property Management designations in one or more of the following: RPA, CPM, CFM, FMA with progressively responsible experience of 5-7 years in mechanical, electrical, industrial engineering or property management fields;

REQUIRED EXPERIENCE:

  • 3-5 years supervisory experience in a unionized environment

OTHER SKILLS AND ASSETS:

  • Demonstrates leadership skills and exceptional communication skills with an emphasis on customer service.
  • Superior report writing; thorough knowledge of applicable legislation related to facility and property operations and maintenance including relevant portions of the National and Provincial Building Code and Occupational Health and Safety Act.
