About the Opportunity
Reporting to the Health Services Manager, the Secretary is responsible for duties relating to the day-to-day administration of the program. Responsibilities include but are not limited to:
- Performing general reception duties including telephone contact with the public and health care providers
- Receiving and responding to inquiries and requests, both on the phone and in-person, exercising sound judgement, courtesy and confidentially
- Performing general clerical duties such as filing, photocopying, faxing, booking appointments, maintaining sufficient inventory of supplies
- Providing support to the program manager, physicians, intra-disciplinary team members, and volunteers
- Using various computer applications such as Meditech for admissions, registration, SAP for time entry
- Managing the Provincial Palliative Care Database
- Managing the Programs Sharepoint site
- Development of clinical forms and patient/public brochures
- Collating statistics, including monthly MIS data and program statistics
- Assisting with program orientation, including arranging access and training for required computer applications
- Preparing educational presentations (slide decks)
- Coordinating educational programs hosted by the program
- Assisting with program projects
- Typing, preparing reports, letters, agendas, minutes, memos as requested by the manager
- Documentation and records management
- Collaboration with provincial, zone and local partners
- Work with minimal supervision , using sound judgement to make decisions
- Hold in confidence all matters pertaining to patients and staff
About You
We would love to hear from you if you have the following:
- Graduate of a recognized Medical Office Administration program, including a Medical Terminology course
- Minimum one year experience in an administrative position, preferably in a health care setting
- Excellent computer skills including the Microsoft Office Suite, (Word, Excel, PowerPoint, Outlook, Visio, SharePoint), Meditech (Admissions, EMR, CWS Registration, Order Entry), Adobe Acrobat Pro, SAP, and the Electronic Forms Repository
- Accurate keyboarding skills with a minimum typing speed of 60 wpm
- Experience in database entries
- Experience with recording and transcription of meeting minutes
- Experience with forms and brochure development, planning and coordinating educational sessions and other special events
- Strong interpersonal, organizational and communication skills
- Ability to meet the public in person and on the telephone in a pleasant and efficient manner.
- Experience working with volunteers an asset
- Skills test may be required as part of the selection process
- Ability to respect and maintain confidentiality of patient information and personnel, including volunteers
- Ability to work independently, with little supervision, to prioritize activities and to work cooperatively as part of a team
- Ability to use sound judgement
- Ability to perform the duties of the position
- Commitment to promoting a culture of respect that supports ethical practice, cultural awareness and sensitivity, and organizational health.
- Competencies in other languages an asset, French preferred

Hours
