Brief Description:
A reform synagogue downtown is seeking a highly motivating, welcoming, and organized professional to be the primary contact, working directly with families for their child’s upcoming B’Mitzvah.
Job Function:
The result of your work will be that members and visitors to our community have a safe, meaningful experiences in our space. You will report to our Synagogue Operations Manager (SOM), and work in collaboration with a wide variety of our staff members.
1. Guide our families on preparations for the ritual ceremony and onsite celebration for their child’s upcoming B’Mitzvah
- Manage logistics leading up to the ceremony and oversee the day-of flow.
- Set up an initial meeting with the family – over Zoom – to go through the B’Mitzvah document. This meeting may take place up to 6 months before their simcha
- Maintain frequent communication with families to ensure a positive overall experience
- Provide thorough logistical support in scheduling, developing and assist the Rabbi in carrying out BBM programming and services
- Arrange rehearsal, answer logistics questions
- Invoicing/financial system collection: BBM fee, Donation to Rabbi’s Discretionary Fund,
- Teen Engagement donation, kiddush portion for tax receipt, insure tax receipts received
- Liaison between the clergy and B’Mitzvah families for the B’Mitzvah rehearsal
- Coordinate with the caterer – menu planning (including Vegan, Gluten Free etc), rentals, etc.
- Assist the family with parking arrangements, any special requests
- Partner with clergy and SOM to continue evolving and adapting our B’Mitzvah program and updating our B’Mitzvah Handbook
- Maintain a high level of congregant/customer-friendly service, assess levels of satisfaction, and make adjustments where needed.
2. Be a front-facing, positive presence for our shul before, during, and after the B’Mitzvah
3. Maintain diligent confidentiality practices.
4. Assist with other coordination and administrative tasks as they arise.
All of the above tasks will be carried out in collaboration with other staff members, and with supervision and mentoring from the Synagogue Operations Manager.
Schedule:
- Spring 2024 – 5 hours on-site Saturday mornings 930 am to 230 pm
- Fall 2024 – 10 hours per simcha – 5 hours pre planning, 5 hours on-site 930 am to 230 pm
- Pre-planning work is done virtually – by email, over the phone and on Zoom Dates
- Spring 2024 B’Mitzvah dates – March 30, May 4, May 11, May 25, June 8
- Fall 2024 B’Mitvah dates – September 7, September 21, November 2, November 30
- 2025 dates – June 7, Sept 13
Job Requirement:
- Excellent organization and communication skills
- Administrative experience, ideally in a not-for-profit or faith-based environment
- Good computer skills with experience in Word, Excel and Zoom.
- Ability to multitask, anticipate needs, take initiative and problem solve
- Good interpersonal skills to relate effectively with clergy, staff, congregants and suppliers
- Understanding of Jewish values, rituals, customs and holiday practices is an asset.
Requirements:
- High school diploma;
- It would be an asset to have recent experience in event planning, faith-based ritual/programming, project management, hospitality, or a related field.
Additional notes:
This position is partially remote and offers some flexibility. The candidate is required to attend simchas in person from 9:30 to 2:30 on Saturdays. $20.00/hour, contract staff, no benefits.
