Position Purpose

Reporting to the Supervisor, of the Career and Employment, the incumbent is responsible for developing, coordinating, and evaluating a variety of recurring and special projects within the Student Service Centre, and in particular the Career Centre, primarily related to student and employer programs, and the ongoing quality of student engagement and experience. Under the leadership of the Manager of the Career Centre, the Project Coordinator plans, coordinates, and executes on all aspects of an assigned project, working in collaboration with internal and external stakeholders in support of the Telfer School of Management objective to optimize the student and employer experience. Responsible for executing logistical activities related to the delivery of programs while developing and maintaining communication platforms and strategies.

Responsibilities

  • Project Coordination: Under the leadership and guidance of a Manager, supports the project’s objectives and priorities, timelines, deliverables, and resource/budget requirements for a range of cyclical and special projects (e.g.: career centre program administration, logistics and communication to program participants) by performing a variety of coordination of activities.
  • Coordinates activities, tasks and logistics associated with multiple approved project plans; monitors projects throughout all work steps and stages, ensuring timelines and deliverables are as per plan. Project plans may require the coordination of activities with multi-disciplinary teams, including managers, technical and skilled staff, volunteers, as well as external partners.
  • Project Evaluation: Ensures project records are well-documented and maintained in order to optimize the efficiency of recurring projects and the execution of work plans. Evaluates and adjusts project activities based on feedback from participants and stakeholders. Maintains accurate records for key historical data, program metrics, and reporting to internal and external stakeholders.
  • Community Engagement: Develops cooperative relationships and partnerships with internal and external service providers and community stakeholders to facilitate a range of activities in support of assigned projects and initiatives; attends program activities to understand needs and assess appropriate changes. Sources and maintains the School’s online career development software to facilitate work integrated learning activities (including, but not limited to, community service learning).
  • Relationship coordination: Coordinates a variety of service contracts to ensure the successful completion of project activities, many of which are directed towards enhancing student and employer experience. Exercises a high level of diplomacy and discretion in all interactions
  • Maintains documents for the Career Centre’s programs, including those related to internships, mentoring programs, and events and provides recommendations to ensure the Telfer School of Management remains competitive in attracting both students and employers, and to ensure a positive experience for all clients.
  • Supervision: Supervises students as needed for project delivery and ensures their work complies with established standards and directives.

  • Postsecondary education at the university or college level (in a management program considered an asset),
  • Three years related experience involving project or program management.
  • Knowledge of the University’s policies, guidelines, and regulations regarding events.
  • Effective problem-solving, communication and presentation skills.
  • Excellent interpersonal skills, including the ability to develop and maintain positive relationships with a diverse clientele and ability to communicate with respect, tact and discretion.
  • Ability to work independently and in a team.
  • Excellent analytical, time management skills.
  • Ability to develop key performance indicators.
  • Demonstrated ability in all stages of the project processes, including initiating, planning, and executing.
  • Experience in program evaluation and/ or research with demonstrated skills in qualitative and quantitative data collection, analysis, and knowledge dissemination.
  • Ability to work outside normal working hours at peak times (have flexible hours)
  • Bilingualism – French and English (oral and written) essential.
