Job description: INTRO

The Accounting Assistant I is an entry level position and mainly responsible for processing basic transactions, monitoring and distributing Accounts Payable general email box, opening and scanning the physical mail, liaising with suppliers, buyers and other internal customers and providing assistance for their questions and concerns. The Accounting Assistant I is also expected to support the Accounts Payable section through financial, administrative and reporting services while meeting all month-end and reporting deadlines and maintaining a strong internal control environment.

DUTIES

  • Under supervision, process basic transactions in Oracle which require minimum follow-up and analysis and save the electronic invoices into the share area; Ensure the accuracy of the invoice number, amount due, currency, tax codes, purchase order/valid charge codes, and a proper invoice approver
  • Understand of CNL policies and procedures, especially Finance related policies and procedures, and use these knowledge to make judgement to maintain a strong internal control environment
  • Liaise with suppliers, buyers and other internal customers and providing assistance for their questions and concerns
  • Open and scan the physical mail received by Accounts Payable and distribute the electronic copy to other team members
  • Monitor Accounts Payable general email box and distribute emails to other team member
  • Answer calls from the contact center and deal with Service CNL tickets
  • Have independent judgement of payment releasing within established policies, procedure
  • Recommend procedural changes to improve work efficiency
  • Work with suppliers to resolve issues and disputes
  • Assist the internal customers, such as invoice approvers, project leader/coordinators and Financial Analysts, to provide insight and documentation as required
  • Initiative for work efficiency improvement
  • Be able to communicate, read and write
  • Be able to sit and do computer work for over 1-2 hours at a time
  • Be able to work in a fast-paced team environments and handle stress

QUALIFICATIONS

Education

  • Post-Secondary education in Business Administration or equivalent

Experience

  • A minimum of 1 year Accounts Payable Experience
  • Proficient in Microsoft Office suite and Oracle or other Accounting Softwares.

Abilities and Skills

  • Ability to identify discrepancies and errors as well as any inconsistencies in accounting data and records
  • problem solving skills to assist in rectifying problematic invoices and payments
  • Organizational and prioritizing skills to meet high volume demands in a timely and efficient manner
  • Oral and written communication skills to relay information during one-on-one sessions to interpret existing procedures to customers and co-workers
  • Tact and courtesy in dealing with internal customers
  • Ability to get and maintain Level 2 Security Clearance

Job/Industry Specific Knowledge

  • Practical knowledge of Accounts Payable processes and Generally Accepted Accounting Principles (GAAP)
  • General knowledge of provincial and federal tax
