Job description: Position Overview

The Office of Continuing Medical Education in the Cumming School of Medicine is currently seeking a Part-time Limited Term Accrediation & Administrative Coordinator for approximately 11 months.

The Continuing Medical Education & Professional Development (CME & PD) Office’s mission is to provide and coordinate integrated academic educational and assessment activities and resources that promote lifelong learning for health care professionals for excellence in clinical practice focused on improving patient and health outcomes. Activities include a broad range of evidence-based learning opportunities to physicians, other health professionals and the public, in a variety of formats including face to face, online and blended learning.[See http://cumming.ucalgary.ca/cme/]

This position reports to the Director, CME.

The primary purpose of the position is to administer the external accreditation application process, acts as accreditation liaison providing information and support on CPD accreditation standards and procedures, as well as provides office administration support for CME&PD. The incumbent will work closely with the CMEPD accreditation team, including Education Consultants and the Accreditation Specialist.

The normal shift for this position is 7 hours per day, four days per week, usually Monday to Thursday. However, this position will experience peak periods requiring staggered starts to the work day, additional hours and/or some occasional changes to the work week.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Accreditation
  • Coordinate external accreditation applications from general accreditation queries, application intake, documentation and payment tracking, conduct first administrative review of submitted application forms, transfer to education reviewer, and ongoing communications with applicant, notification of results, of approximately 125 applications per year
  • Provide tier one level support including: liaison, information/support on CPD accreditation standards and procedures to internal and external stakeholders
  • Ensure accreditation forms and templates meet national accreditation standards set forth by the Royal College of Physicians and Surgeons of Canada (RCPSC), College of Family Physicians of Canada (CFPC), and National Standard for Support of CPD Activities. Submit accreditation notifications to RCPSC and CFPC.
  • Update forms and templates as necessary. Ensure most up-to-date forms are on website
  • Establish and monitor administrative procedures and guidelines to ensure efficient processes of accreditation applications
  • Track financial submission by applicants and processing by CME finance team
  • Advise CMEPD accreditation team on internal policies, procedures, and standards to ensure they adhere to national policies, procedures and standards
  • Analyze and make recommendations to CMEPD accreditation team when gaps identified
  • Ability to exercise independent judgment and escalate complex in-depth queries to CMEPD accreditation team
  • Submit Notification of Review for internally developed and externally reviewed accreditation activities to RCPSC and CFPC
  • Administrative
  • Knows the policies and procedures in the area CME & PD in the University of Calgary and answers queries about CME & PD, Cumming School of Medicine and University of Calgary, as appropriate
  • Ability to handle constant interruptions in a high traffic area involving emails, phones and faxes from public, staff, faculty, and healthcare professionals who have requests for information about educational courses, programs, accreditation, research projects, and other aspects of the CME & PD operation.
  • Ensures CME website is up to date by checking links and making sure documents are current and correct.
  • Receives visitors, screen and re-direct emails, calls and mail, as required
  • Management of office procedures and equipment, such as documenting processes, maintaining calendars, archiving of files, and supplies, equipment and software ordering, tracking and managing.
  • Responsible for advising the Associate Dean, Director and Managers, CME & PD on critical matters that may impact departmental decision making.
  • Serve as administrative support to the Director and Managers
  • Serve as alternate for administrative support to the Associate Dean, CME & PD, Assistant Deans and Medical Directors
  • Administrative support includes: scheduling appointments; arranging meetings and travel; coordinates meetings; ensuring agendas are prepared in advance; notices and supporting materials are sent in a timely manner; provide logistical support (booking rooms, arranging food and beverage functions as needed); follow-up on activities from the meetings; and other support as required

Qualifications / Requirements:

  • Bachelors degree required, with Postsecondary training (certificate or specialty) in office and/or business administration or combined required
  • Significant experience working in an administrative role in fast-paced multi-stakeholder environment
  • 5-7 years of experience, with experience in a medical, university and/or regulatory agency required
  • A combination of education and experience considered
  • Knowledge and/or experience with professional accreditation bodies and/or medical/health/education profession an asset
  • Ability to quickly understand the nature and scope of projects and activities being undertaken by the Office in order to anticipate own work, re-scheduling that might be required, and information that needs to be transmitted to other staff.
  • Ability to multi-task high volume of work and prioritize in order to meet deadlines under minimal supervision
  • Ability to conduct confidential and sensitive matters in a professional manner to external stakeholders
  • Excellent time management and organizational skills.
  • Proven ability to work as part of a team is essential.
  • Proven ability to work independently and exercise initiative, tact and good judgement.
  • Strong written and verbal communication and decision making skills.
  • Excellent attention to detail
