SALARY: Payband G, starting rate $32.42 per hour

HOURS: Monday to Friday, 9:00 am to 5:00 pm

HOURS PER WEEK: 40

LOCATION: 146 Kendal Avenue

STATUS: Temporary Support

EFFECTIVE DATE: Immediately to December 2024

Position Summary:

Reporting to the Dean, the Administrative Assistant to the Dean of the Centre for Construction and Engineering Technologies (CCET), performs senior level support and duties related to the ongoing operation of the CCET, with constantly changing priorities. The incumbent also assists the Budget and Special Projects Manager in the daily, weekly, monthly, and yearly budgetary operations, special projects, fundraising initiatives, and special events within the Division. The Administrative Assistant is the first point of contact for prospective students, current students, faculty, staff, employers, external organizations, governments, and other departments requiring information from the Dean’s Office.

Key responsibilities:

  • Manages the ongoing activities of the Dean’s office to ensure the efficient operation of the office by providing executive administrative support and administering decisions on the daily operational concerns. This includes maintaining the confidentiality of the Dean’s office.
  • Administers all front-line inquiries, resolves issues and problems prior to contacting managers; analyzes student issues and recommends courses of action-based college policies and procedures. Documents and prepares report summaries of issues of student complaints and emergencies that occur in the CCET.
  • Analyzes and suggests alternatives and possible recommendations when assisting in the decision-making processes of the Dean’s Office.
  • Composes correspondence, meeting minutes and notes, and editing and updating presentations for delivery by the Dean and other Technology staff members.
  • Provides and is responsible for the communications and fundraising initiatives.
  • Provides customer service to students by developing plans and creating and standardizing best practices guidelines to resolve student related issues.
  • Responsible for budget, business cycle and support to the Budget Manager’s activities.
  • Provides administrative services to the 3 Centres within the Division and Faculty.
  • Coordinates and oversees work schedules of all student staff.
  • Coordinates and facilitates a supportive mentoring relationship between peer leaders and peer tours.
  • Prepares time sheets/payroll for Peer Leaders and maintains accurate attendance records.
  • Updates Student Success bulletin boards.
  • Compiles feedback using tools such as Survey Monkey and the one-minute reflection forms (end of each semester), makes general observations of feedback and recommends solutions to management.
  • Schedules peer leading sessions for Division.
  • Other duties as assigned.

Educational and Experience Requirements:

  • Three-year diploma/degree or equivalent from a recognized post-secondary institution in Business or Office Administration or the equivalent.
  • Minimum of five (5) years’ progressive successful experience at a senior level in customer service, teamwork and facilitating conflict in an environment where diversity of people and situations are part of the college culture.
  • Experience working as a support person to a senior manager is required.
  • An understanding of basic accounting principles and computer scheduling packages is required.
