We’re also looking at what’s next for you and how we can help you build a career you’re proud of. We are seeking an experienced Administrative Assistant for our BC Region District office located in Richmond, BC.
As an Administrative Assistant for our BC Region, you will contribute to our team by:
- Providing accurate Word, Excel and Power Point support by composing and/or editing a variety of documents, spreadsheets, presentations, minutes, memoranda, contracts, and proposals.
- Arranging for catering, locations, distribution of information with respect to the event and any gifts or handouts for the event.
- Assisting with the creation of Health, Safety & Environmental Manuals for new construction projects
- Maintaining client and subtrade database of contact information
- Creating progress photo reports for various construction projects
- Booking travel and accommodation for Project Managers and Project Superintendents
- Assisting Project Managers and Estimators on various estimate submissions
- Assisting Project Managers with the creation of proposals for new construction opportunities
- Compiling and editing Operation and Maintenance Manuals for completed construction projects
- Developing and maintaining a well-organized filing system that permits easy reference and rapid retrieval of information.
- Assisting with the issuance of subcontracts, subcontract revisions as well as client contracts.
- Assisting with organizing meetings and/or special events
- Answering phones and takes messages for manager, department or team members.
- Creating and maintaining templates for forms, letters and tracking spreadsheets.
- Other duties as required.
Qualifications
What you will bring to the role:
- Technical certificate in office admin program.
- Minimum of 1-3 years’ experience in an administrative role.
- Intermediate skills in Word, Excel and Outlook.
- Ability to create, edit and format documents.
- Basic construction knowledge.
- Excellent verbal and written communication skills, proofreading and grammar.
- Self-management skills to plan, organize and prioritize tasks with conflicting deadlines.
- Service oriented approach internally and externally.
- Professionalism when dealing with PCL employees and external contacts.
- Knowledgeable in department/project specific software.
- Ability to act with discretion when handling confidential information.
- Ability to ask the right questions to the right people in order to find the answers as quickly as possible.
