Job description: Engineers & Geoscientists British Columbia are currently searching for an Administrative Assistant to join our team in Burnaby for a 6-month contract.
The Administrative Assistant, Professional Practice is responsible for providing administrative support for the
Certified Professional Program and the Continuing Education Program. Responsibilities include triaging incoming
inquiries related to the programs, editing presentations and other documents, organizing and scheduling meetings, including set-up and tear down for these meetings, developing and distributing agendas and minutes, carrying out volunteer management requirements and following up on action items.
WHAT YOU WILL BE DOING
- Schedule, organize and attend meetings. Prepare and distribute meeting agendas and minutes. Follow up on action items. Prepare volunteer postings and appointment/reappointment memos.
- Liaise with committee members.
- Provide administrative support to the Certified Professional Program Manager and various working groups.
- Compile, format, and distribute materials for annual CP courses, exams, and update seminars. Maintain CP registry, update program records and documents.
- Liaise with AIBC staff, city staff, CP course presenters and attendees.
- Various department volunteer group meetings: Set-up, clean-up, and catering arrangements.
- Miscellaneous tasks, including travel arrangements, updates to department pages on the website, prepare general correspondence and presentations, reconcile credit card statements and filing.
- Other duties as assigned by management.
WHAT YOU BRING TO THE TABLE
The successful applicant will possess the following:
- Completed a diploma in marketing, communications, business administration, or a related discipline; and
- 5 years of relevant work experience related to administration in an office environment
The position will require the successful candidate to demonstrate that they have:
- Excellent communication skills, both written and verbal;
- Proficiency in MS Office (Word, Excel) and database management (MRM/CRM)
- Ability to work autonomously and take ownership of projects;
- Strong attention to detail and accuracy;
- Ability to work in a professional and collaborative environment;
