Job Description
This is a 12 month contract
The Administrative Assistant is responsible for a wide variety of administrative duties in support of the management team in our Markham office. Duties include but are not limited to arranging maintaining project documentations and records, order and managing office supplies and lab equipment, facilitate internal workflows, scheduling meetings, coordinating events, scanning documents, maintaining files. The Administrative Assistant is also required to maintain confidentiality and professionally interact with employees, management and the public.
- Provide direct administrative and office management support to all members of the management team, as directed.
- Maintaining project documentations and equipment.
- Facilitate internal collaboration, purchasing, legal and other workflows.
- Prepare travel schedules, book travel arrangements, and make reservations for senior management and occasionally members of their staff.
- Coordinate logistics of team programs including meetings, seminars, workshops, special projects, and events (including awards, celebrations and social events).
- Minute taking, and tracking meetings resolutions.
- Refer and/or redirect calls, e-mails, or visitors as required.
- Complete expense reports, pay invoices, and other related duties.
- Present a positive and professional image of the office to all visitors, suppliers, inquiries, and other persons.
- Some personal assistant duties as required (lunches, errands)
- Other duties shall be assigned as required.
Qualifications
- Post-Secondary Diploma in Business Administration, or relevant discipline, required.
- Experience in operation or HR field is asset
- Strong knowledge of office procedures and practices
- Keen attention to details
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
- Resourceful and flexible
- Strong English and Mandarin communication skills
