As an Administrative Assistant, you will report directly to the National Broking Director – Operations, Data & Analytics.

Your Impact As An Administrative Assistant

Job Responsibilities:

You will be supporting a national team of leaders in multiple offices across the country within the Broking division of Commercial Risk Solutions in activities such as the following:

  • Planning, managing and coordinating multiple department functions; including training seminars, setting up meeting rooms, ordering supplies etc.;
  • Assisting with presentations, meetings and conference call preparations; create documents, presentations and spreadsheets;
  • Performing routine administrative task such as answering phones, scheduling meetings, acting as a resource for general inquiries;
  • Arranging travel, accommodations, etc., for National & Regional Leaders;
  • Preparing, coordinating, submitting and managing expense reports for the National & Regional Leaders;
  • Calendar and email management for a team of National Leaders requiring interaction with both internal staff, management and executive leaders along with external partners, while keeping National Leaders on schedule with all business commitments and priorities;
  • Organizing and prioritizing your own workload; managing multiple tasks, deliverables and projects;
  • Helping with special operational projects and ad hoc requests;
  • Demonstrating Aon values in day-to-day work activities by modeling integrity, fostering an inclusive environment, complying with Aon policies and striving to have a positive impact on our clients, colleagues, and communities.
  • Additional Responsibilities as assigned.

You Bring Knowledge and Expertise

Required Experience:

  • Candidates who have 3+ years’ experience in comparable sized companies and offices;
  • Exceptional computer skills, including advanced MS Office skills (Outlook, Word, Excel and PowerPoint);
  • High level of accuracy and attention to detail;
  • Experience in supporting a team of individual;
  • Ability to prioritize multiple tasks and work under pressure and with tight deadlines;
  • Experience working independently with minimal supervision;
  • Client and team relationship focused;
  • Ability to anticipate business needs and take initiative;
  • Strong problem solving skills;
  • Ability to work collaboratively as a key member of a team;
  • Maintaining a high level of confidentiality working on sensitive/confidential material.

Preferred Experience:

  • 3 to 5 years of progressive experience in an office environment;
  • Previous experience in an insurance or consulting environment would be an asset.

Education:

  • High School Diploma or equivalent;
  • Office Administration Diploma or Certification would be an asset;
  • Project Management Diploma would be an asset;
  • MS Office training would be an asset.
