We need your help to expand the ability to deliver prompt and professional service. Position Highlights
Bring your resourcefulness and effective problem solving skills to a role where you can really make a difference. In this dynamic role you will provide administrative and secretarial support the Clinical Operations based out of Abbotsford, BC.
Your specific duties will include:
- Provides administrative and clerical support by drafting, transcribing and typing confidential correspondence. Implements revised methods to improve general office administration.
- Prepares charts, tables, presentation materials and newsletters using a variety of software applications such as word processing, spreadsheets, graphics and databases.
- Develops and maintains an efficient system for receiving, processing, filing and retrieving department documents and materials including correspondence, budget and financial information, contract management reports, project documents and meeting/committee meetings.
- Manages appointment calendars including scheduling and coordinating meetings, speaking engagements and/or conferences.
- Compiles financial information, verifies invoices and prepares documents for signature; processes expense claims and maintains related records.
- Performs record management by setting up and maintaining numeric, alphabetical and subject filing systems and databases, indexing files and materials to be filed and conducting files searches for requested information.
- Arrange meetings and room bookings, make travel itineraries and organize appointment calendars.
We are looking for a committed and personable person with an eye for detail. You are able to juggle numerous tasks in a busy environment and conduct business in a professional manner. You like helping people and you display excellent communication skills.
You will take a thorough, hands-on approach to deliver high quality and precise work. A focused approach is needed to complete routine day to day tasks and handle changing calendars, priorities, and timelines. You will carry a high level of integrity, discretion, and confidentiality.
Qualifications:
- Graduated from a recognized administrative or secretarial program
- Three years’ recent related experience in a large complex business environment or health care environment.
- You type 55 wpm and are proficient with Microsoft Word, Outlook, and Excel at an intermediate level.
An equivalent combination of education, training and experience is acceptable.
This part-time position is based at Mission Memorial Hospital in Mission, BC.
