Hours: 17.5 hours per week
Status: Permanent Part-time

University Health Network (UHN) is looking for an experienced professional to fill the key role of Administrative Assistant I in our Medical Oncology and Hematology department.

The Administrative Assistant I exercises moderate judgement and decision making to provide administrative services, including: email/phone communication, coordinating and maintaining electronic calendar/daily schedule; scheduling meetings and teleconferences; meeting participation (e.g. agenda/minute preparation and distribution); providing word processing/typing services to facilitate the production of documents/materials; organizing travel and hotel arrangements, itinerary planning, and follow up on travel and expense reimbursements; ensuring efficient office operations (e.g., ordering office/lab supplies, ensuring maintenance of office equipment); assisting with clinical research and grant related documents; maintenance of curriculum vitae; financial reimbursement processing and submission; invoice processing and monitoring against budget; developing, organizing and maintaining electronic and paper information; performing clerical support functions as required; performing cross-functional responsibilities as required; coordination with other administrative assistants and team members in the department, performing other duties consistent with the job classification, as assigned.

Qualifications:

  • At minimum, Community College Diploma in General or Medical Office or equivalent Administration required
  • At minimum, 1 year of experience working with health care providers and/or principal investigators as an administrative assistant preferably in health care required
  • Experience working in medical office/hospital clinic preferred
  • Excellent organizational and time management skills; attention to details
  • Excellent interpersonal skills and demonstrated ability to work effectively, both independently and as a team member
  • Excellent verbal and written communication skills
  • Ability to effectively handle confidential matters and materials
  • Ability to work well under pressure
  • Computer proficiency required (Microsoft Word, PowerPoint, Outlook and Excel)
  • Knowledge of administrative, organizational/office practices, procedures and standards
