Job description: Your Opportunity:

With minimal supervision, the Admin Support III provides administrative support to ensure the effective and efficient operation of a high volume Child and Adolescent Addiction and Mental Health Clinic. The incumbent provides administrative support to a variety of staff including managers, psychiatrists, social workers and psychologists, as well as students and residents. The daily tasks of this position vary and require sound judgment and advanced critical thinking, organization, decision making and communication skills. Significant multi-tasking and a comprehensive working knowledge of the AHS system are required to meet the competing demands of this position. Duties include, but are not limited to, working closely with management to oversee the operation of the clinic, proactively identifying issues and initiating resolution within scope of authority, developing, implementing and evaluating work flow processes, managing calendars, taking and distributing meeting minutes, transcribing psychiatry reports, creating and closing client charts, taking and directing telephone calls, ordering and maintaining office supplies, acting as a resource to staff on technological and system issues, maintaining databases, photocopying and faxing, and performing general office duties.

Required Qualifications:

Completion of Grade 12 or equivalent. Additional Required Qualifications:

Completion of Secretarial Program or Equivalent Experience. Minimum 5 years of administrative support experience. Fluency with a variety of computer software programs including MS Word, Excel, Outlook, Internet Browsers, calendar and email applications. Typing skills at an accuracy rate of at least 60 words per minute. Excellent organizational, communication, interpersonal relationship and problem solving skills required. Ability to be accountable for the overall administrative support functions of the clinic while attending to accurate and timely completion of tasks. Ability to work well under pressure, including working in an open, face paced environment with multiple demands. Ability to take initiative and work independently. Ability to work collaboratively with team members to accomplish goals. Reliability, accountability and flexibility required. Adherence to AHS policies, including Information and Privacy, is required. Preferred Qualifications:

Completion of the Brain Story certification. Experience working within a mental health clinic. Experience working within a child and adolescent program, and understanding of how to support parents. Understanding of and commitment to patient and family centered care principles. A working knowledge of RAIS, Clinibase and E-Scheduler highly preferred. Understanding of and the ability to work with off-site chart management systems preferred.
