Location: PRPS – Fernforest
Hours of work: 35 hour/week
Reporting to the Divisional Commander this role is responsible for providing administrative support to the Paramedic Operations team (Commander, Superintendents) for day to day and special projects.
What you will do in this role:
- Assist in the management of the Divisional Commander calendar/schedule including tracking of assigned tasks to ensure follow-up
- Schedule variety of meetings (weekly, monthly & quarterly), prepares agenda, attend meetings and perform set up activities, take meeting minutes and distributes/posts, complete follow-up research as required
- Schedule assorted inter-agency meetings (including Peel Regional Police, municipal fire departments, community partners) as requested
- Process information: scan, data entry, form completion, submission and filing of documents
- Process, enter, follow-up of including (Imedic, BLS Audits, HRI, new hire paperwork, investigation files, Occurrence reports, Off Load Delay, other)
- Maintains databases as required for tracking purposes
- Assist with managing the PRPS general phone line and action requests and or direct calls to appropriate PRPS representative for action
- Forwards documents and correspondence to the appropriate sections within PRPS (Logistics and Planning and Performance) and the rest of the organization
- Maintains bulletin boards to ensure up to date information is available to staff
- Typing correspondence and other reports
- Participate in coordinated ordering of office supplies
- Manages incoming and outgoing mail (courier, deliveries)
- Assist with P-card reconciliation and processing business expense claims
What the role requires:
- Secondary school graduate plus one year of office administration experience
- Working experience and knowledge of MS Office applications (MS Word and Excel)
- Within the scope of duties be able to problem solve and proactively deal with administrative matters
- Ability to work in a self-directed manner within a collaborative team environment

- Able to communicate in a professional and respectful manner with employees, management, colleagues, visitors, vendors and contractors in person and on the phone
- Good customer service skills with the ability to respond with tact and diplomacy
- Able to enter data accurately with minimal errors due to high attention to detail
- Effective time management and organizational skills and the ability to deal with changing priorities and competing demands

Work Mode & Job Location: at 1600 Bovaird Drive East, Brampton
In this role you will have the ability to work remotely and attend on-site when required based on operational requirements at the 1600 Bovaird Drive East, Brampton worksite. The frequency of on-site activities may vary on a weekly basis and based on operational requirements. Your remote work location must be located within the province of Ontario.
Hours of Work: 35 hours per week
