AREA OF RESPONSIBILITY:

Reporting to the Manager, Building Design & Construction, provides frontline administrative and customer service support to meet the needs of the Building Design and Construction Division.

  • Provides administrative support to the Building Design and Construction Division.
  • Responds to internal and external inquiries, ensuring a high level of customer service.
  • Maintains the Division’s filing system, ensuring records retention procedures are adhered to.
  • Coordinates, prepares and processes staff payroll and mileage claims, invoices, cheque requisitions, transfer journals, recoveries, purchase requisitions and work orders.
  • Arranges meetings for Divisional staff; preparing and distributing meeting agendas and minutes to attendees.
  • Generates, maintains and distributes various reports utilizing multiple Corporate databases.
  • Monitors, tracks and maintains an inventory of supplies and equipment, including office, personal protective equipment, cameras etc.; sourcing vendors and costing where required.
  • Arranges service calls to repair equipment.
  • Coordinates and tracks Divisional reports on route to council and committee.
  • Assists Divisional staff with the preparation of presentation materials.
  • Processes MasterCard reconciliations; ensuring accurate and timely completion and submission.
  • Receives and plots AutoCAD files using the Divisional plotters and packages and distributes large construction drawings.
  • Participates on various Divisional committees.
  • Performs other similar and related duties as assigned.

SELECTION CRITERIA:

  • High School (Grade 12) graduation plus an additional program of over one (1) and up to two (2) years in Office Administration – Executive or equivalent.
  • Over one (1) year, up to and including two (2) years of related experience.
  • Working knowledge of Microsoft Office Suite, Visio, Auto CAD, Photoshop and PeopleSoft.
  • Exceptional written and verbal communication and interpersonal skills with an emphasis on customer service.
  • Ability to work independently or as part of a team.
