Job title: Client Services Clerk

Job description: Reporting to the Supervisor of Client Services and Recreation, the Client Services (CS) Clerk is a front-line ambassador for the Department of Athletics. Client Services is a central point of contact for the Department of Athletics, therefore the CS Clerk position plays an integral role in overall functioning of the Department of Athletics. The Clerk is responsible for effectively communicating information, having an in depth understanding of all programs, services and events that are occurring in the department. They are responsible for ensuring the day-to-day activities of Client Services are conducted with efficient and effective customer service, adhere to internal control policy and procedures and fulfill building safety and security requirements.

The incumbent will additionally be responsible for:

  • Assisting with the recruitment, training, hiring and functional supervision of approximately 35 part-time student staff
  • Problem and conflict resolution with the ability to disseminate and communicate accurate and timely information to Athletics Centre members, other unit areas and the general public
  • Daily functional supervision of part-time staff, administering work schedules, assigning tasks, and validating hours worked for payrollf
  • Ensuring part-time student staff daily task responsibilities are appropriately assigned and completed
  • Closing of multiple Athletics Centre facilities and conducting daily building inspections and security checks to identify and report facility concerns or inappropriate conduct by users
  • Processing membership fees, sell available merchandise, sell Box Office tickets, rent/lend equipment, register clients for courses, processing refunds, running daily cash balance reports and performing multiple forms of purchase transactions requiring cash handling

Requirements of the position include:

  • Two (2) year Community College with a minimum of one (1) year of experience in customer service, cash handling and client service administration, or an equivalent combination of education and experience
  • Strong verbal communication and customer service skills
  • Excellent leadership skills and the ability to train and monitor the day-to-day duties of a dynamic and demanding team
  • Effective problem solving and conflict resolution skills combined with demonstrated ability to take initiative in completion of tasks
  • Strong computer skills including experience with Microsoft Office Applications and the ActiveNet Registration Software or similar software
  • Ability to work flexible schedule with shift times varying depending on the hours of operation of the Guelph Gryphons Athletics Centre
  • Sunday-Thursday schedule with start times 8 hours prior to the building closing time
