Job description: Job Summary: The Construction Project Administrator is a vital member of our construction team, responsible for providing administrative support to construction projects. This role requires exceptional organizational and communication skills, as well as a keen eye for detail. The Construction Project Administrator will play a key role in ensuring the smooth and efficient operation of construction projects, from initiation to completion.
Key Responsibilities:
- Document Management:
- Maintain organized project files, ensuring all documentation is complete, accurate, and up-to-date.
- Prepare, review, and distribute project-related documents such as contracts, permits, and change orders.
- Assist in document control and version tracking.
- Communication:
- Serve as a central point of contact for project-related communication between team members, subcontractors, and clients.
- Schedule and organize project meetings, take meeting minutes, and distribute relevant information.
- Facilitate the flow of information among various stakeholders.
- Scheduling and Coordination:
- Assist in the development and maintenance of project schedules.
- Coordinate with subcontractors and suppliers to ensure timely delivery of materials and equipment.
- Monitor project progress and update key stakeholders on milestones and delays.
- Budget and Financial Support:
- Assist in budget tracking and expense management.
- Prepare purchase orders, track invoices, and assist in cost control efforts.
- Support the procurement process by obtaining quotes and negotiating with suppliers.
- Compliance and Permitting:
- Ensure that all necessary permits and licenses are obtained and maintained throughout the project.
- Maintain compliance with safety and environmental regulations.
- Quality Assurance:
- Assist in the implementation of quality control procedures.
- Participate in the inspection and verification of work to ensure compliance with project specifications.
- Reporting:
- Generate and distribute regular reports on project status, budget, and performance indicators.
- Provide data and information for project evaluations and post-project analysis.
Qualifications:
- Bachelor’s degree in Business Administration, Construction Management, or related field preferred.
- Previous experience in project administration or a construction-related role is an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management software (e.g., Microsoft Project, Primavera, Procore) is a plus.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Attention to detail and the ability to work under pressure.
- Knowledge of construction processes and terminology is preferred.
- Willingness to learn and adapt to new tools and technologies.
