Job description: Job Summary: The Construction Project Administrator is a vital member of our construction team, responsible for providing administrative support to construction projects. This role requires exceptional organizational and communication skills, as well as a keen eye for detail. The Construction Project Administrator will play a key role in ensuring the smooth and efficient operation of construction projects, from initiation to completion.

Key Responsibilities:

  • Document Management:
  • Maintain organized project files, ensuring all documentation is complete, accurate, and up-to-date.
  • Prepare, review, and distribute project-related documents such as contracts, permits, and change orders.
  • Assist in document control and version tracking.
  • Communication:
  • Serve as a central point of contact for project-related communication between team members, subcontractors, and clients.
  • Schedule and organize project meetings, take meeting minutes, and distribute relevant information.
  • Facilitate the flow of information among various stakeholders.
  • Scheduling and Coordination:
  • Assist in the development and maintenance of project schedules.
  • Coordinate with subcontractors and suppliers to ensure timely delivery of materials and equipment.
  • Monitor project progress and update key stakeholders on milestones and delays.
  • Budget and Financial Support:
  • Assist in budget tracking and expense management.
  • Prepare purchase orders, track invoices, and assist in cost control efforts.
  • Support the procurement process by obtaining quotes and negotiating with suppliers.
  • Compliance and Permitting:
  • Ensure that all necessary permits and licenses are obtained and maintained throughout the project.
  • Maintain compliance with safety and environmental regulations.
  • Quality Assurance:
  • Assist in the implementation of quality control procedures.
  • Participate in the inspection and verification of work to ensure compliance with project specifications.
  • Reporting:
  • Generate and distribute regular reports on project status, budget, and performance indicators.
  • Provide data and information for project evaluations and post-project analysis.

Qualifications:

  • Bachelor’s degree in Business Administration, Construction Management, or related field preferred.
  • Previous experience in project administration or a construction-related role is an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management software (e.g., Microsoft Project, Primavera, Procore) is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Attention to detail and the ability to work under pressure.
  • Knowledge of construction processes and terminology is preferred.
  • Willingness to learn and adapt to new tools and technologies.
