Your opportunity:

Under the general direction of the Assistant to the Dean, Senior Administration Coordinator the Coordinator, Student Programs Administration and Communications provides program administrative and communications support to the Office of the Dean of Students. Responsibilities include: coordinating the logistics for student events and college tours (i.e. Fall Campus Days, Welcome Sessions, March Break Open House, Residence Move-in days etc. This will include directing the activities of casual staff (i.e. tour guides, summer housing assistants etc.)

In addition, the position will support updates and maintenance of various webpages managed by the Office of the Dean of Students; be a first point of inquiry for University College students regarding student and student group bookable spaces, residences, locker rentals etc.; updating and maintaining databases; compiling reports ; booking audio-visual equipment needs and assisting with set-up; assisting with promotional materials for programs, activities and initiatives of the Office Of the Dean of Students (handbooks, guides, social media updates, information sheets and e-newsletters).

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries
  • Resolving issues within the scope of the role and escalating problems as required
  • Scheduling appointments.
  • Booking rooms and arranging appropriate accommodations
  • Handling sensitive and/or confidential information
  • Creating and updating records
  • Editing content for brochures, newsletters, websites and/or handbooks
  • Maintaining information on digital platforms
  • Determining logistical details and activities for events and/or programming

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years of recent and related experience providing administrative and advising support to student leaders, student organizations in a post-secondary education institution.
  • Experience with student-focused event planning, promotion and execution.
  • Experience working with and advising students from diverse backgrounds.
  • Experience writing content for and maintaining websites
  • Demonstrated skills and ability to provide effective guidance and advice to students, student leaders and organizations in a responsive, empathetic, thoughtful, and discreet manner.
  • Demonstrated time management skills with the ability to effectively prioritize, multi-task and organize work, and meet tight deadlines while able to pay attention to detail.
  • Excellent oral and written communication, presentation, and interpersonal skills
  • Advanced skills with Microsoft Office (e.g. Word, Excel, PowerPoint, Outlook)
  • Knowledge and understanding of equity, diversity and inclusion.
