Our expectations

The primary purpose of the Project Coordinator position is to coordinate all administrative duties related to Lowe’s Development and Construction processes for various project types, including, but not limited to, new store expansion, retrofit and conversion projects, supply chain projects, facility improvement projects, and remerchandising projects for varying banners of Lowe’s Canada/RONA across Canada. Primary duties include project schedule coordination, processing and handling of contracts and construction pay applications, purchase orders, change orders, invoicing, maintaining and updating of applicable databases, making necessary copies of packages, sending reminders, manage statuses, scheduling of meetings, etc. Additionally, this position assists Lowe’s Construction Project Managers and Development Managers with day to day project activities including bid/tender of projects, providing direct support to the Lowe’s Canada Director of Construction.

Your role
Maintains current reports and distributes to other teams as required within Lowe’s Canada for Lowe’s Development and Construction. Compile minutes from team meetings, manage weekly PSR Report
Assist with preparation of construction bid packages and supply required information to the appropriate personnel necessary to develop and send the tender packages out of tender.
Assist with the review and analysis of project tender and assemble all cost (soft and hard) into budget format for comparison to the budget approved by senior management.
Works closely with Lowe’s Construction Project Manager to ensure that project closeout materials are uploaded to Sitefolio.
Assist with the administration of contract documents.
PAR Workbook creation for project approval
Ability to multi-task and stay organized, meeting daily project priority needs.
Assist with preparation and issuance of change orders in a timely manner per the requirements of the contract agreement.
Processes payment of contract payment requests (invoice payment; review, coordinator appropriate approvals, file, track and either submit for payment). Point of contact for all vendor inquiries/payment status/issues with invoices.
Manage new vendor set-up process, including assisting/drafting project SOW, Master Professional Services Agreements when needed.
Set-up and coordination of Letters of Credit and transfer of funds related to construction and development activity. Includes tracking of funds from set-up to release.
Coordinates contractor prequalification process, reviews and compiles submissions for final review by the Lowe’s Development and Construction Team.
Coordinates project Reimbursements/Disbursements; updates tracking spreadsheet, copies data/backup, coordinates with consultants, prepares invoices and processes/codes payments.
Prepares and submits monthly accruals, detailed by vendor.
Owns Canada E&C Project Change Order Tracking Log; tracks individual change orders by category for review at project close/lessons learned.
Sitefolio Administrator; Sets up new businesses and individuals in Sitefolio, adds consultants/contractors to specific projects and acts as first point of contacts for all questions/issues from internal and external users.
Receives, compiles, and distributes Lowe’s Canada Development and Construction Vacation/Travel Schedule on a regular basis.
Coordinates all certified check requests, creates PO’s, completes and submits payment/EFT requests. EFT set-up with Vendors
Assists with management of the Project Termination and Spend Write-Off processes.

The qualifications we are looking for
Excellent organizational skills, «self-taught» with the initiative to work independently.
Excellent clerical skills
Working proficiency in both French and English languages, spoken & written
Ability to work with Oracle PeopleSoft
Strong interpersonal/communication skills with the ability to work effectively at all levels of internal and external organizations are essential.
Proficiency with various software packages including Microsoft Office and Excel.
Ability to assist with management of Lowe’s project management platform; Sitefolio.
Assist with coordination of project permitting.
Training in project management and a working knowledge of MS Project, AutoCAD would be an asset
