We’re looking for a Disbursements Administrator (6 Month Term) who will be based in Burnaby, B.C.
The Opportunity:
The Disbursements Administrator is responsible for high volume processing of settlements for assets transacted under various Ritchie Bros. channels for Australia and New Zealand markets. This role’s primary objective is to provide superb customer service to internal and external customers through the timely settlement of transactions while adhering to contractual obligations, internal policy, and Sarbanes Oxley (SOX) controls.
In this role you’ll:
- Upload of sale data and balance of commission and Gross Transactional Value (GTV)
- Storage of reports required for Settlements processing following naming and organizational convention
- GST compliance: adjustment of GST for exempt sellers – foreign and unregistered
- Duty Tax compliance: ensure collection of duty tax on applicable imported lots
- Month End: reconciliation liability accounts – subledger to GL
- Outstanding settlements: investigate, communicate, and escalate to ensure resolution
- Follow-up reports: produce and distribute post-sale checklists and delayed files report
- Process of settlement statement:
- verify statement agrees with contractual obligations
- ensure accurate input of recovery expenses
- ensure accurate payable names and amounts
- ensure accurate processing of post-sale adjustments
- Process of at-risk files:
- apply correct level of authorizations
- follow guidelines to meet additional requirements
- ensure accurate coding and allocation per corporate guidelines
- Process of payments:
- Complete required reconciliations prior to issuing payments per SOX controls
- Utilize pre-set guidelines to code invoices to the general ledger (GL)
- Run batch payments of electronic transfers and wire payments to consignors, lien holders and suppliers in a timely manner

Here’s what you bring:
- 1-3 years of experience working in an office environment
- Enrolled or about to enroll in an accounting program
- Accounts Payable and/or Accounts Receivable experience is an asset
- Experience working with ERP systems
- Proficiency with Office package
- Excellent verbal and written communication skills in English
- Proven commitment to providing excellent customer service
- Excellent interpersonal skills and ability to build relationships
- Outstanding analytical and problem-solving skills
- Organized, detailed-oriented and able to multi-task in a fast-paced environment
- Excellent time management skills and the ability to manage competing priorities
- Self-motivated and able to work unsupervised
- A solid work ethic, without sacrificing your sense of humor or your ability to have fun on the job.
This job will require you to:
- Be responsible to perform outlined tasks with minimal supervision
- Promptly acknowledge and resolve customer’s inquiries
- Collaborate with AR, AP, Operations to ensure customer satisfaction
- Follow organizational guidelines to store documentation to support paperless process
- Assist with month end closing and reporting as needed
- Perform other accounting administrative duties as required
- Flexible and willing to work varied hours and occasional overtime hours.
