Job Summary:
The Equipment Administrator will play a crucial role in efficiently managing equipment movement, documentation, and reporting. The successful candidate will be highly organized, detail-oriented, a master in Excel, and capable of multitasking in a fast-paced environment. This role involves maintaining accurate records, collaborating with various departments, and ensuring projects meet deadlines. Construction, mining, and heavy haul experience are preferred.

Responsibilities:
● Document all equipment movement to and from the yard to work sites within excel and Eclipse.
● Track fuel cards and run reports to provide for leadership.
● Create electronic unit files and maintain accurate uploads.
● Transfer equipment assets in Eclipse.
● Work with transportation and equipment planning and scheduling to capture all work history.
● Processing of invoices and receivables.
● Issue purchase orders.
● Preparing and submitting daily, weekly, monthly, and quarterly reports.
● Keep detailed spreadsheets of the workflow.
● Confirm all required paperwork is correct and complete when submitted.
● Ensure all projects are completed by the deadline.
● Strong time management and organizational skills with an ability to be adaptable, manage multiple priorities in a highly dynamic and changing environment.
● Keep track of incoming and outgoing, equipment, or materials.
Education:
● Accounting diploma would be an asset.
● Business administration preferred.
Working Conditions:
This position operates in a fast paced environment where the Equipment Administrator must be prepared to manage multiple tasks simultaneously. Attention to detail is critical, as well as the ability to adapt to changing priorities and deadlines.
Schedule:
● Monday to Friday, 7:00AM- 4:00PM (flexible)

Requirements:
● Proficiency in Microsoft 365, with advanced Excel skills.
● Experience with Eclipse is considered an asset.
● 3-5 years previous experience in equipment administration or related roles.
● Construction and mining industry experience preferred.
● Excellent analytical and problem-solving abilities.
● Strong organizational and time management skills.
● Adaptable, capable of managing multiple priorities in a dynamic environment.
● Self-starter with the ability to work both independently and collaboratively.
● Outstanding customer service skills.
● Attention to detail is essential.
● Ability to work effectively in a fast paced environment.
