Reporting to: Senior Advisor: Equity and Anti-Racism, Teaching and Learning

Location: McLennan Library Building

Hiring Unit: Teaching and Learning Services

Hourly rate: 23.17 + 3.6% legal holiday indemnity + 4% Vacation pay added to each pay

Hours: Up to 10 hours per week

Duration: November 1, 2022 to April 30, 2023 with a possibility of extension

Job Summary:

Teaching and Learning Services (TLS) is looking for a candidate for an Equity Education Office Assistant position to provide logistical support for activities related to undergraduate and graduate student skills development via the Our Shared Spaces portfolio, as well as other offerings at McGill. This position is covered by the AMUSE Collective Agreement.

Typical functions:

  • Coordinate the smooth running of equity education workshop logistics (faculty, graduate, and undergraduate) and other related equity education activities;
  • Coordinate and provide support for email accounts (Our Shared Spaces, as well as other Equity Education resource accounts as needed) (i.e., triage incoming requests, respond to various levels of requests);
  • Keep database updated, registration/attendance/feedback results;
  • Coordinate registration via WMS and/or Zoom depending on delivery method and send reminders to registered participants;
  • Track cancellations and no-shows;
  • Greet, direct and screen visitors; answer telephone calls, answer inquiries and direct to appropriate area / person;
  • Perform other related duties;

Minimum Education, Certification and Experience:

  • Current or former McGill student
  • Experience working in a Teaching and Learning Center is an asset

Job requirements:

  • To be eligible for this job, you must have access to a computer and high-speed internet, webcam and microphone, and work from home office space
  • Must be willing to learn new software
  • Must be available to work on campus when necessary
  • Must be able to work in local time zone (Eastern Standard Time)
  • Familiarity with web conferencing technology (Microsoft Teams, Zoom, etc.)
  • Ability to work in a blended PC environment using word-processing, spreadsheets, databases, presentation software, email, myInvolvement, myFuture, Minerva, OneDrive and social media platforms

  • Excellent oral and written communication skills
  • Demonstrated teamwork and interpersonal skills
  • Excellent organizational skills and proven ability to multi-task in a team-oriented and fast paced office environment
  • Understanding of issues related to diversity, social equity, inclusion, anti-racism, discrimination an asset
  • Client-focused and service-oriented skills with a proven ability to clearly and effectively receive, retain and transmit information at all levels within the organization
  • Demonstrated ability to provide support for various administrative activities and maintain electronic filing systems;
  • Proven ability to take initiative, problem-solve in area of responsibility and prioritize to meet deadlines
  • Attention to detail
  • Strong information literacy skills (i.e., ability to define research terms, search online databases, journals, websites, websites, amalgamate information, and critically evaluate resources)
  • Self-motivated and willing to take initiative.
