Key Responsibilities:
- Produce and execute a variety of events supporting the strategic objectives of the assigned portfolio to streamline contracts, systems, processes and people.
- Maintain professional contact with key client leads to ensure plans represent vision and strategic outcomes.
- Provide event-specific organization, administration and supervision.
- Manage all event details either independently or through others including marketing/digital communications, virtual event platform selection and programming, event speakers, planning meetings, gifts, invitation and hospitality procurement, event registration and RSVP management.
- Work with Events Operations team to coordinate logistics & services (virtual event platform, room bookings, food/beverage, photography, audio visual/lighting requirements, decor, parking, custodial support, set up/tear down schedule, facility clean up).
- Lead the management of designated administrative projects, functions and processes to ensure business success, which may include developing and implementing sales plans, collaborating with NAIT administrative areas, developing systems to manage timelines and costs/budget, understand and be able to manipulate event software and associated virtual platforms, and prepare annual portfolio budget.
- Develop Events’ standardized processes for scheduling, communicating and “post-mortem” evaluation, including arranging meetings, project requests, presentations, activities and client follow-up.
- Prepare professional client communication documents including letters and invoices, and appropriately resolve client concerns.
Skills & Abilities:
- Strong leadership skills, strong knowledge of event planning principles, strong business acumen strong team skills and strong knowledge of virtual event platforms and support.
- Highly developed communication and interpersonal skills (formal/informal) with multiple individuals and groups.
- Strong time management skills to meet objectives and/or deadlines including competing timelines.
- Problem-solving skills – ability to analyze information and resolve given knowledge of departmental policies/expectations and NAIT processes/policies.
- Intermediate to advanced computer knowledge and processing skills.
- Knowledge of table service etiquette, room layout principles and effective scheduling.
- Knowledge of HACCP, AGLC Regulations, Food Safety Standards, food presentation techniques.
- Must be able to lift to 50 lbs.
- Must be available to work evenings and weekends as required.
Qualifications:
- Related Post-Secondary Diploma required. Business Diploma and/or Event Management certificate preferred
- Minimum of 5 yrs related experience required. Minimum of 2-3 years directly related experience (hospitality, banquets, events etc.) preferred
- Demonstrated experience in successful event planning and execution.
- Demonstrated coordination/leadership experience with the ability to lead productive meetings, committees, and projects successfully.
- Experience working in a post-secondary institution considered an asset
- Project management certificate or courses considered an asset.
- Valid Driver’s license required.

Remuneration: $2028.10 – $2727.36 Bi-weekly (based on 0.8 FTE or 29 hours per week), plus a comprehensive benefits package or
$1521.08 – $2045.52 Bi-weekly (based on 0.6 FTE or 21.75 hours per week), plus a comprehensive benefits package.
(Classification – AUPE Coordinator II).
This position is covered by the AUPE (Alberta Union of Provincial Employees) Collective Agreement.
Note: Successful candidates may have the opportunity to work a modified FTE/weekly schedule while campus activity is limited due to the COVID-19 pandemic.
