Your opportunity:
Under the supervision of the Associate Director, Marketing and Communications, the Events Specialist will be responsible for conceptualizing, organizing, executing, and evaluating a range of both virtual and in-person professional events for the Schwartz Reisman Institute for Technology and Society. Representing the institute, they will be responsible for successfully working with both internal and external stakeholders, throughout all stages of the event cycle. The Events Specialist will evaluate the institute’s event needs and make strategic recommendations on event concepts. The incumbent will also collaborate on appropriate marketing and communication plans to best support event promotions. In addition, the Events Specialist will support all aspects of event operations and management, not limited to, determining requirements such as determining appropriate venues, on-site supervision, event direction, managing and recommending technology for both virtual and hybrid events, and writing comprehensive manuals and guides on events logistics.
This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the .
Your responsibilities will include:
- Building and strengthening relationships with stakeholders and partners of strategic importance
- Conceptualizing, organizing and executing event activities.
- Implementing plans and process improvements for events and related activities.
- Conducting post-event evaluation, analysis and recommendations for changes.
- Developing marketing/communications strategies that support fundraising campaigns and programs.
- Monitoring accounts for a project and/or program.
- Directing the activities of casual staff.
Essential Qualifications:
- A Bachelor’s Degree, or an acceptable equivalent combination of education and experience.
- Minimum 5 years of recent and related experience successfully conceptualizing, organizing, and executing professional events, preferably in a University or relevant industry setting.
- Experience directing activities of events staff.
- Experience managing event accounts including preparing invoices, tracking income and expenditures, making minor purchases, and preparing financial summaries.
- Demonstrated experience conducting post-event evaluations, analysis and reporting.
- Experience developing compelling communications/marketing strategies and content, including print, digital, and social media, to increase event outreach and engagement.
- Experience working with stakeholders of strategic importance in creating and implementing events.
- Experience creating and maintaining knowledge bases, event manuals, process documentation and checklists.
- Exceptional writing, editing, and oral communication skills and proficiency in communicating and engaging effectively with a wide range of constituencies.
- Strong project management skills to achieve results, track and escalate issues to leadership, and to meet critical timelines in collaboration with stakeholders.
- Proven organizational skills, ability to adapt to constantly changing priorities, manage multiple projects concurrently, and complete work in required time frames.
- Strong computer skills including MS Office, InDesign, Photoshop, Squarespace, Mailchimp, Airtable or equivalent.
Assets (Nonessential):
- Experience with live streaming and virtual event technologies (such as Zoom, YouTube, StreamYard, Wirecast or similar).
- Certification or diploma in communications or event management.
- Working knowledge of emerging trends in advanced technologies, including applicable topics in academic research and policy discourse.
