The Corix team has an opportunity for an Executive Assistant based out of Vancouver, BC with the ability to work hybrid remote. This position provides essential administrative support to the President and CEO, the Executive Leadership Team, and the Board of Directors, and is based out of our Canadian facility. The role is integral to maintaining administrative efficiency and smooth operation within the organization’s top management levels. The successful candidate will be responsible for a wide array of tasks, facilitating effective daily operations and offering support across various departments.
Please Note: This is a 1-year contract to cover a leave of absence.
What you’ll do
- Manages and maintains executives’ schedules, appointments, and travel arrangements.
- Prepares and edits correspondence, communications, presentations, and other documents.
- Monitors, screens, responds to, and distributes incoming communications.
- Coordinates project related tasks including contract preparation and document management.
- Maintains a safe, secure, and legal work environment with a high degree of discretion and confidentiality.
- Arranges and co-ordinates board and committee meetings, leadership meetings, events, and attending to logistics of meetings, including catering and technology requirements.
- Banking operations: including oversight of various bank functions such as completing bank compliance documents, retrieving data for daily and annual reports.
- Transaction processing: intercompany and external wire transactions, assist in revolver borrowing tracking and notices,
- Bill management and expense reporting; oversees bill payments, expense reports.
- Tax filling support; provides assistance in preparing and submitting filings and payments as needed.
- Maintain general office functions, including office supply inventory and ordering, office maintenance requirements, and act as a liaison with the building management on any suite needs (e.g. carpet cleaning, light fixture replacement, office temperature, etc.).
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments such as the payroll department and Executives as needed.

Experience and Education
- 5 years related experience preferred
- High School Diploma

- Ability to conduct research and create reports or presentations.

- Ability to handle sensitive information with discretion.
- Basic computer and office equipment skills
- Ability to work in a fast-paced environment.
- Knowledge and experience in payroll processes including understanding of payroll legislation and compliance.
- Previous experience supporting senior executives and board members is highly desirable.
