ROLE PROFILE:

Position: Executive Assistant
Reports to: SVP, Public Affairs & Marketing and SVP Real Estate Development and
Construction
Location: Remote/Markham, Ontario
Scope: The Executive Assistant role demonstrates our commitment to the Team Member Experience by providing integral services and support to our communities and their teams.

As an Executive Assistant your typical day will impact in the following ways:

  • Supporting two Senior Vice Presidents (SVPs) with all executive and administrative matters in all areas under the SVP’s responsibilities
  • Compiling data and reports, preparing agendas and meeting packages, and responding to routine formal written correspondence; coordinating meetings and teleconferences.
  • Supporting with expense reports
  • Arranging and booking corporate and personal functions for the SVPs
  • Coordinating meeting agendas and materials where SVP is the chair, taking and distributing minutes and following up and reporting to the SVP
  • Dealing with issues and tasks on behalf of the SVP as directed, often in high pressure situations
  • Managing the daily schedule for the SVP, rationalizing and prioritizing competing demands from various sources from within and outside the organization
  • Communicating in person and through correspondence with high level contacts inside and outside the organization such as vendors and senior leadership
  • Maintaining strict confidentiality on all matters
  • Proactively creating and maintaining effective workflow and communications to accomplish the work of the Operations office which includes the handling of a variety of projects and tasks simultaneously.
  • Performing other duties as assigned.

Education and Experience:

  • 7 – 10 years of experience supporting Executive level management at a publically traded organization
  • Advanced proficiency in MSWord, Outlook, PowerPoint and Excel
  • Possesses the initiative and ability to perform tasks without being asked, and achieve desired results without having to wait for answers or direction.
  • Ability to handle multiple tasks and changing priorities while maintaining a high degree of accuracy.
  • Demonstrated experience to build effective business relationships with high profile internal and external clients.
  • Proven ability to effectively function in high stress situations.
  • Ability to adapt to a fast paced and ever changing environment.
  • Effective verbal and written English communication skills required
