Total of 21 hours (.6 FTE) Mon 8.30-15.30, Tues-Thurs 8.30-14.30.
DUTIES
The Field Education Assistant provides a wide range of administrative support for the social work field education program. This position serves as the first point of contact with students in assigned program areas with respect to general questions about field education.
MAJOR DUTIES & RESPONSIBILITIES * Works closely with the Field Education Coordinator and other key personnel in the faculty and the institution to ensure smooth operations of Field Education.
- Provides administrative support by organizing and coordinating workflow in field education and determining priorities in order to meet the needs and requirements of the assigned area; resolves day-to-day problems and handles sensitive material.
- Manages the Field Education Database. Evaluates and tracks data. Sets up and maintains field education records and reports.
- Tracks and manages Partnership Placement Agreements (PPA).
- Manages confidential criminal record checks clearance process for all practicum students.
- Tracks, reviews and ensures completeness of students’ field applications, using Intern Placement Tracking system.
- Establishes rapport with students within portfolio. Serves as first point of contact for students’ questions and concerns related to field education and handles student referrals.
- Liaise with agencies for field placements and maintain records and contact information for field agencies.
- Assists Field Education Coordinator with orientation for students and faculty liaisons, and field instructor training workshops.
- Prepares and updates field education forms and information, both printed and on the web.
- Arrange meetings, locate, and assemble background information, book physical facilities and equipment for meetings, and assist with arrangement events.
- May represent TRU at field education events including training, agency meetings, and appreciation events.
- Performs secretarial duties which include word processing a variety of documents such as correspondence, contracts and evaluation summaries.
- Provides other administrative support for field education.

QUALIFICATIONS
EDUCATION:
- Requires Grade 12 plus specialized program up to 1 year or equivalent including Advanced Word, Intermediate Excel and Intermediate Access or equivalent
EXPERIENCE:
- Three years’ related experience, including at least one year experience with developing and maintenance of data bases including Excel and advanced word processing
SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB
- Good organization skills including the ability to set priorities, multi-task and work with minimal supervision and remain focused on objectives
- Intermediate research and analytical skills
- Ability to investigate and listen in order to solve problems and provide solutions
- Aptitude for exacting and precise work, a high degree of accuracy, thoroughness, and attention to detail
- Ability to communicate effectively verbally and in writing with a widely diverse student population and coworkers and across functional areas of the institution
- Strong computer skills in MS Office, previous experience with working in databases required
- Ability to maintain a student-focused approach
- Familiarity with BC post-secondary education and the Canadian Association for Social Work Education Accreditation Standards
- Ability to deal courteously and tactfully with students, staff and members of the general public
- Ability to manage student files, records and maintain student confidentiality
- Ability to prioritize and coordinate own workload
WORKING CONDITIONS

The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.
Pay Band
CUPE Grade 06 $27.06
Salary rate
This Position is not subject to a 90% start rate for new Employees.
