Job Summary

An integral part of the University since its inception in 1963, the Division of Continuing Studies (DCS) provides adult and continuing education programming in co-operation with faculties and community partners. DCS offers a comprehensive portfolio of courses and programs in a range of academic disciplines, using certificate, diploma, and other programming models to serve adult, part-time, international and geographically dispersed students. Through our dedication to academic and service excellence, we offer a transformative experience to each student.

As a service unit for the Division of Continuing Studies, the Finance and Student Services (FSS) team places students at the centre of its operations in the provision of the core instutitional servces and systems. The services offered by FSS includes managing inquires, reception, registration, student advising, payment and financial accounting, records management, and reporting FSS collaborates closely with all program units within the Division as well as across campus.

Reporting to the Director, Finance and Student Services (“Director”) the Finance and Admissions Assistant (Assistant) provides assistance in the areas of financial accounting and development and production of reporting for the division. This position also provides a broad range of assistance to DCS learners in particular, answering inquiries, providing information on courses, programs and admissions etc. This position is self directed while managing and evaluating a high volume of international and domestic registrations that must be assessed quickly and accurately to support the Division of Continuing Studies’ enrollment goals.

This role will represent the Division of Continuing Studies when dealing with students and outside agencies. This role will often be the first point of contact and will need to manage competing demands.

Job Requirements

Experience:

3-5 years practical experience working in a large, complex organization with applied skills in accounting policies, practices and procedures;

  • Proficiency in using a software suite such as Microsoft Office (Word, Excel, PowerPoint), particularly excel;
  • Performing financial analyses and reconciliation, preferably with high volumne accounts
  • Working with large databases

Preference will be given to applicants with:

  • Experience using university systems such as the Divisions’s Student Registration Systems (OASIS), FAST, and Banner would be considered an asset
  • working in an international educational environment, providing international student support

An equivalent combination of education, training and experience.

Skills:

  • Excellent customer service skills, including the ability to defuse tense or unpleasant situations by skillful communication and interaction
  • Ability to analyze and produce comprehensive results from large quantities of data
  • Exercise good judgment, confidentiality, diplomacy and tact
  • A genuine interest in the student experience
  • Strong problem-solving skills with the ability to determine when a problem needs to be taken to a higher authority
  • Ability to work in a team environment or individually, with limited supervision
  • Excellent time management and administrative skills with the ability to work in a fast paced environment, with a high degree of accuracy, together with the ability to multi-task while taking personal responsibility for the quality and timeliness of work taking into account all factors
  • Demonstrates ability to be socially and culturally responsive
  • Demonstrated intermediate level of technicial proficience in working with computer systems, programs and data files such as Sharepoint and Adobe Pro

Specialized Knowledge/Education:

  • Knowledge training or relevant post-secondary coursework or certification relating to office administration process and procedures
  • Knowledge of general applied accounting principles (GAAP) and strong understanding of budgeting, finance and accounting
