Job description: Company Overview:

Our client, located in Oakville, a leading organization in the construction sector, is currently hiring a Fleet Administrator to join their team.

This position offers the opportunity to play a pivotal role in ensuring the smooth operation of motor vehicle fleet operations.

Responsibilities:

Administration:

  • Assist in administrating and coordinating motor vehicle fleet operations.
  • Understand and adhere to OSHA and fleet-specific regulations, licensing, registration, and reporting requirements.
  • Maintain additional administrative functions on an ongoing basis, including filing, shop work orders, and all third-party billing.

Maintenance and Vehicle Safety:

  • Coordinate repairs and preventative maintenance scheduling to support fleet vehicle availability requirements.

Reporting and Monitoring:

  • Produce documents, reports, and presentation materials for departmental use.
  • Ensure proper record management and develop analytical reports.
  • Conduct data entry, collection, analysis, and reporting.
  • Maintain and monitor all performance Key Performance Indicators (KPIs).

Customer Service and Communication:

  • Provide effective and accurate communication between internal departments, corporate, service providers, and third-party vendors.
  • Receive all incoming requests, determine priority of response, and direct inquiries to appropriate departments.
  • Manage and appropriately prioritize all email and mail correspondence in a timely manner.

Requirements:

  • Bachelor’s degree in Business Administration, Logistics, or related field preferred.
  • Proven experience in fleet administration or related roles.
  • Strong understanding of regulatory compliance and reporting requirements.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Detail-oriented with strong organizational skills.
