Job description: Position Summary and Job Magnitude
The Housing Administrator provides the overall administration of the housing components as it relates to student housing. The Housing Administrator reports to the Assistant General Manager or the General Manager and assists with the day-to-day operations of the student residence.

Essential Functions and Basic Duties

  • Demonstrate a high degree of customer service
  • Generate and ensure accurate occupancy and application reports for weekly submission
  • Maintain historical data of all reports (applications, student occupancy numbers, etc) for accurate projection of student numbers
  • Responsible for new and returning student application processing
  • Document and keeps accurate records of all student files and paperwork (Student Resident Agreement, Special Consideration Forms, roommate requests, etc)
  • Facilitate the check in/out of residents and all roommate and room assignments
  • Update and maintain access control database and prints residence access cards
  • Work in conjunction with the Assistant General Manager to facilitate room changes and roommate conflicts
  • Manage room inventory and student room moves for maximum occupancy
  • Coordinate vacant room cleaning with Housekeeping Supervisor
  • Develop and facilitate the room inspection process
  • Ensures room inspection are completed in a timely manner and all damages/deficiencies are reported and charged to the appropriate accounts
  • Assist in maintaining the standards, policies and procedures of the maintenance requests and bed bug procedures
  • Work in conjunction with the Assistant General Manager to provide communication to students regarding financial accounts and collection of residence fee payments and deposits
  • Responsible for showcasing the residence building to prospective students, parents and the College community
  • Any other duties as assigned

Health & Safety

  • Require employees work in the manner and with the protective devices, measures and procedures required by the OHSA, regulations and Campus Living Centres.
  • Ensure employees are advised of and trained on any known hazards in the workplace.
  • Ensure every precaution reasonable in the circumstances is taken for the protection of an employee.
  • Support a safe work environment that is free from any violence or harassment.
  • Reinforce and demonstrate a positive “health and safety” attitude
  • Hold information sessions with staff on health and safety issues.
  • Develop an effective working relationship with JHSC members and support their role.
  • Perform informal workplace inspections daily and formal workplace inspections quarterly.
  • Make every reasonable attempt to resolve any employee health and safety concerns.
  • Conduct Incident Investigations and ensure the results are discussed in JHSC and management meetings.
  • Ensure that a maintenance program for any equipment and machinery in the workplace is carried out.
  • Implement emergency plans when necessary and ensure that employees have been properly trained to comply.
  • Regularly evaluating employee performance and providing periodic feedback with respect to health and safety.

Qualifications
Education: University degree or college diploma preferred

Skills/Abilities: Must possess superior customer service skills
Must possess superior verbal and written communication skills
Must be detailed orientated and possess excellent organizational skills
Have the ability to work well under pressure

Experience Required: 1-2 years industry experience required
