We are currently recruiting for an Academic Advising and Program Administration Manager. Reporting to the Dean, the Manager of Academic Advising and Program Administration is responsible for the overall leadership and day-to-day management of a team of 13 direct reports. The primary functions of this team will be to provide academic advising, disseminate information to a broad range of stakeholders, communicate with prospective and current students and employers and provide administrative support to the credit programs in the school of business.

The Role

Managing Staff:

  • Responsible for leading a team of 13 direct reports, including managing staff (hiring, terminations, corrective action) setting priorities, work allocation, vacation coverage, etc.
  • Provide direct supervision, coaching, goal setting, conducts performance reviews and addresses performance concerns with direct reports.
  • Monitor and evaluate performance and provide feedback on a regular basis.
  • Develop and implement employee engagement initiatives to ensure a well-functioning, cohesive team.
  • Establish work priorities and define goals and objectives for the team and with individuals.
  • Resolve conflicts within the team and coordinate initiatives with other internal stakeholders.
  • Manage elements of general and administrative budgets as they relate to resources required for this team.
  • Plan staff workloads to ensure student needs and school needs are met efficiently and effectively, with back up coverage and maximum staffing for peak times and school events.
  • Working closely with Academic Chairs and student advisors, coordinate events focused on student engagement and success for the school; orientation, program information sessions, student for a day, etc.
  • Develop processes and work flow design to ensure work is done effectively and efficiently.

Lead Academic Advising:

  • Develop processes for student focused academic advising in cohort and non-cohort based programs.
  • Establish work flow to support expanded degree offerings and multiple delivery modes of courses, continuing education, open enrollment and non-credit programs.
  • Lead the process to develop student communications on programs working with academic advisors and Academic Chairs.
  • Work closely with the Office of the Registrar(OTR) and Academic Chairs to understand program requirements, elective choices, junior/senior options and all program details and ensure communications with students are clear, timely and effective.
  • Identify issues that are causing students challenges in their programs and work with Academic Chairs to resolve.
  • Identifying creative ways to connect with students and provide them with program information and advising to be successful.

Program Administration:

  • Lead the team to ensure faculty and academic chairs have administrative support for program needs, travel, purchasing, faculty onboarding and events.
  • Ensure the School of Business reception has coverage to meet school needs and those of students and guests to the school.

Employer Connections:

  • Develop processes for employer communications and connections.
  • Establish work flow to support practicum programs and work experience program requirements.
  • Lead the process to develop employer communications on programs working with academic advisors and Academic Chairs.

Curriculum Administration:

  • Lead the team to support the administrative curriculum processes across all credit curriculum in the School of Business and School of Hospitality and Tourism.
  • Work with the Academic Chairs and the OTR to streamline processes and make recommendations for set up of programs.
  • Ensure timelines for curriculum proposals and processes are met with the appropriate level of consultation with internal and external stakeholders.
  • Other duties as assigned.

Qualifications

The incumbent will possess:

  • Minimum of a diploma, ideally in a related discipline. Bachelor’s degree in management, education or related discipline is preferred.
  • Minimum of five (5) years of advisory or leadership experience in a relevant business or industry.
  • Ability to develop leadership skills and successfully manage people; supervisory experience would be an asset.
  • Exceptional financial and business acumen with experience implementing change in a complex organization.
  • Ability to positively influence and maintain relationships with diverse stakeholders.
  • Experience working in a post-secondary environment is an asset. Specific and detailed knowledge of policies, procedures and processes to manage programs in a post-secondary institute including those supporting academic advising, registration, and career advising.
