Job description: Our client is a respected organization within the sustainable agriculture industry currently seeking a standout Office Administrative Assistant to join their cohesive team. Location: Vancouver, BC
Expected Salary Range: $45,000 – 50,000 per year

Responsibilities:

  • Greet office guests and clients upon arrival at reception
  • Fulfill day to day administrative duties including mail, faxes, and printing/scanning
  • Manage daily correspondence via phone, email and in-person communication with internal and external parties
  • Coordinate travel bookings and arrangements for internal staff and Board members
  • Handle manage completion of expense reports for processing reimbursements
  • Maintain an efficient manual and digital filling and document management system
  • Attend meetings, prepare and distribute agendas and minutes to respective parties
  • Liaise with vendors to ensure office inventory stock levels are maintained
  • Arrange logistics for meetings and events – including space bookings, catering and related details
  • Ensure main office areas and meeting rooms are clean and organized
  • Additional related tasks and projects, as required

Requirements:

  • Diploma in Business Administration or related field of study
  • Minimum 2 years’ experience in an office administration, receptionist, or client services role
  • Proficient with MS Office Suite and comfortable with technology
  • Excellent verbal and interpersonal skills with the ability to build and maintain professional relationships
  • Strong attention to detail and accuracy
  • Exemplary organizational and time management abilities
  • Highly adaptable and able to expertly manage changing task priorities in a day
  • Possess a proactive, positive, and collaborative approach
  • Maintain the highest level of discretion with handling confidential details
  • Able to travel within B.C. and Canada, on occasion
