Job Description
In this role, you are integral in keeping productions flowing smoothly and effectively, coordinating multiple projects, and meeting deadlines in a fast-paced environment supporting our marketing and communications department. You will provide administrative support to the Production Manager by making production purchases and reconciling expenses in a timely manner, creating invoice purchase order requisitions, supporting the team with entry, distribution and archival of vendor contracts, booking meetings with necessary collaborators to keep production on track, and support with production process updates. Supporting productions with various duties including but not limited to, location/set scouts, catering requests, waivers, insurance, and supporting in booking travel as assigned.
To be successful in this role, you need to be highly organized and detail oriented. You pride yourself in accomplishing tasks quickly and efficiently. You are agile and can adapt to time-sensitive requests on the fly. You are a creative self-starter with an ongoing awareness and responsiveness to client satisfaction with the ability to coordinate multiple projects across internal MLSE departments, meeting deadlines in a fast-paced environment.
Responsibilities
- Creation and distribution of all production contracts & communication with vendors prior to shoots commencing
- New Vendor registration and onboarding
- Coordinate all approved production purchases (Set décor, props, catering, etc.) while obtaining necessary information including receipts and documentation, production information and business purpose to reconcile in a timely manner within Concur
- Communication between Internal and External Stakeholders, including document distribution
- Creating Invoice Purchase Order Requisitions (Crew Invoices and Company Invoices) through Oracle
- To manage travel, accommodations, and per diems for the team
- Calendar Updates – Production and Post Production through Airtable and Outlook
- Production Process Updates (Ongoing)
- Contract input for all vendors across GP projects; track contracts from brief through to archival
- Project invoice submissions and tracking
- Visibility and organization of MLSE Vehicle fleet sign outs through trackers in Airtable
- Schedule courier services when required
- To attend all department meetings for all projects
Qualifications

- Experience and understanding of video production with multiple styles of content capture, including commercial, social media, and a focus on client-driven and branded content campaigns
- Organization and poise with video production business administration tasks
- Ability to coordinate multiple projects and meet deadlines in a fast-paced environment
- Effective verbal and written communication skills, and an open mind to collaborate.
- Confident in gathering feedback and communicating solutions
- A creative self-starter with an ongoing awareness and responsiveness to client satisfaction
- Proficiency with Microsoft Office software and systems
- Flexibility to work evenings and weekends as required.
- Ability to assess scope of work and troubleshoot quickly, and take hands on action as needed
- Adaptability: MLSE is a constantly growing and changing environment, and while processes are required, a fluid approach and willingness to change according to corporate priorities and transitions is essential.
