About the Role

Provides administrative support and related organizational services to the Faculty of Education’s Graduate Programs office masters and doctoral programs, Graduate Programs Committee, administrative staff, and the Director of Graduate Programs. Under the direction of the Program Manager, responds to requests for information about graduate programs; resolves non-routine registration problems; composes general and confidential correspondence; communicates with graduate students regarding their program of study; maintains and updates the departmental student records database and designs and generates reports as requested ; coordinates the short-term instructional contracts process; receives, checks, and processes comprehensive examination forms; coordinates thesis defences; and coordinates meetings and special events. Liaises with faculty, students, and staff in the office of the Dean of Graduate Studies (DGS) and other University departments to coordinate the admissions, registration, and graduation processes. Provides financial and clerical support to the Program Manager and the Director in the research and compilation of reports and the administration of Entrance Scholarships, Fellowships, and Research Stipends. Tracks funds and prepares summary reports.

Qualifications

High school graduation and one year of post-secondary education, or formal program equivalent, including courses or formal training in office procedures, word processing, database, spreadsheet, desktop publishing and web design applications. 3 years of related experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • Excellent knowledge of university regulations, policies, and procedures.
  • Excellent organizational and time-management skills including the ability to prioritize work in the context of performing multiple tasks.
  • Excellent interpersonal and communication (oral and written) skills.
  • Ability to exercise mature judgment and initiative and communicate with tact and diplomacy.
  • Excellent knowledge of standard office practices, procedures, methods, and equipment.
