– Carry out administrative correspondence relating to the management of a construction project.
– Transfer the submission file to the tree structure;
– Make sure to provide the various forms necessary to start the project to the various departments concerned;
– Produce the contract award letter;
– Send the subcontracting review and other documents to the contractual department;
– Follow up on subcontracting to various stakeholders until it is signed;
– Document and update the flow of shop drawings;
– Produce the minutes of site and coordination meetings and distribute them to the relevant stakeholders;
– List the minutes that are not under our responsibility;
– Make the required correspondence in accordance with the established rules;
– When mobilized on a site, take part in the mobilization and physical demobilization of the site in terms of furniture, office supplies, telephone or Internet lines, parking lots, etc. ;
– Maintain the issuance and revision of plans and specifications;
– Ensure that any revisions are distributed to the various stakeholders;
– Ensure the follow-up and the transmission of directives to the various stakeholders;
– Prepare the presentation of the various changes: EC, BC, IC, BT;
– Prepare the SCOs and SCAs: produce the applicable contracts related to the state-owned companies and validate the list;
– Coordinate with the invoicing team for the issuance of the invoice;
– Make sure to obtain all the necessary documents when handing over checks to subcontractors and suppliers;
– Transmit said checks according to the instructions received;
– Prepare and transmit the documentation relating to the provisional and final acceptance;
– Ensure the preparation of end-of-work documents;
– Archive the project within a reasonable time, according to the established instructions and rules, including the documents and information provided by the superintendent and the prevention officer.
