As the Project Coordinator, you will plan and coordinate administrative activities for a variety of projects, committees and working groups for the Policy, Analysis and Systems Unit of PGME. Your superior organizational skills will enable you to proactively support the Director of Policy, Analysis and Systems to track project deliverables and deadlines. Applying your experience with MS data management tools, you will also extract, analyze and organize data for key decision-making. Your proven track record of successfully supporting project teams and working groups in a fast-paced, results-oriented environment will enable our academic success.
Your responsibilities will include:
- Managing the Director’s calendar and coordinating travel arrangements and accommodations
- Coordinating logistics for meetings and project working groups
- Tracking project milestones, timelines and preparing status reports
- Prioritizing and coordinating requests for data and analysis
- Compiling, analyzing, summarizing data and drafting regular reports for the Director
Essential Qualifications:
- Bachelor’s Degree or acceptable combination of equivalent experience.
- Minimum three years of relevant experience.
- Experience in an academic or equivalent setting with project coordination and data analysis.
- Demonstrated experience coordinating, streamlining and developing new administrative processes and procedures.
- Experience working with and supporting senior committees and working groups.
- Experience tracking project deliverables and deadlines.
- Experience with MS data management tools including Excel and Access, collecting data and preparing data reports.
- Exceptional scheduling and time management skills
- Excellent problem-solving and analytical skills.
- Excellent communication (both verbal and written) and interpersonal skills to effectively communicate with multiple stakeholders and clients.
- Excellent judgment, tact and diplomacy. Able to exercise discretion, and maintain confidentiality and flexibility. Proven accuracy and attention to detail, and highly motivated.
- Strong organizational and project management skills.
- Ability to effectively manage multiple projects/tasks of varying complexities, meet deadlines and work well under pressure. An effective team player with a high degree of initiative and creativity.
- Advanced computer skills in MS Office (Word, Outlook, Calendar, POWER BI, Teams, Sharepoint, Email, Excel).
- Advanced knowledge of formulas and formatting features in Excel.
- Demonstrated ability in the use of databases.
Assets (Nonessential):
- Strong background in data report production.
- Knowledge of applications such as Python and R
