Job title: Receptionist/Administrative Assistant

Job description: Opening and Closing of Reception area (i.e. turning lights on/off, setting alarm, locking doors etc.)
Keep front desk tidy and presentable
Greeting and welcoming visitors/clients in the office and directing/announcing them as appropriate
Answering all incoming phone calls and redirecting them as appropriate
Receiving and distributing all incoming faxes to the appropriate clerk
Providing/Receiving documents to and from clients/third parties for pick up/drop off and directing them to the appropriate person
Receiving couriers from Purolator, UPS, FedEx, Huron Water, MicroAge Basics etc.
Receiving and opening all the mail and courier packages; stamping the mail with the receival date; scanning the mail; emailing to the appropriate clerk and putting the physical documents in the clerk’s mail slot/envelope
If a USB or DVD is received; open the file on the USB/DVD and upload into the appropriate file; email the clerk the file name and put the USB/disc in the clerk’s mail slot/envelope
Receiving payments from clients in person and by telephone; processing the pin pad and entering in Cosmolex;
Monitoring all lawyers calendar’s on a daily basis to know schedules for whom to expect in the office daily to allow greeting client’s/calls accordingly
Closing files in Cosmolex, electronic closed files folder, storing the physical closed file in the appropriate closed storage space;
Banking for all offices, as needed, in a timely manner as well as daily banking, paying bills and certifying cheques
Court Filings for staff, as requested;
Update Library books;
Attend Post Office, as needed
Monitor the schedule for the boardroom and co-ordinate with clerks, if necessary
Forwarding e-transfers and direct payments to Annette
Checking web payments, processing the web payments through the pin pad; receipting in Cosmolex; emailing the appropriate clerk
Signing as a witness as needed
Helping staff find supplies and monitor if supplies are running low
Support to the staff for binding, printing, photocopying and scanning, as needed
Cleaning and disinfecting the boardrooms, doorway, debit machines and bathrooms as necessary
Job Requirements: Prior administrative experience is required
Experience using Microsoft Office applications
Organized
Good attention to detail
Professional and courteous
