As we continue to expand, we are looking for Receptionist/ Administrative Assistant who have the passion to deliver the best possible care to our patients.
Summary: Receptionist/ Administrative Assistant to be part of a dynamic Rehab Team in an office consisting of Physicians, Chiropractors, Physiotherapist and Massage Therapists in a Multidisciplinary clinical setting. This is a permanent part-time position (~ 4 days/week).
Location: Aurora (14872 Yonge St, Aurora, ON, L4G 1N2)
Responsibilities:
- Provides an administrative support to the rehab team, including but not limited to: registering patients, answering phone calls, booking appointments, following up on email inquires, management of incoming referrals, mail and faxes, and other administrative duties
- Ensures a good flow in the clinic by managing patients appointments and wait time
- Processing of extended health insurance (TELUS, MVA, WSIB)
- Assisting physicians and therapists with managing patients, including preparing and cleaning of exam/treatment rooms between visits and other Covid-19 infection control procedures
- Answering patient inquiries, emails and providing assistance in order to ensure a positive clinic experience on every visit
- Participate in patient health status assessment and treatment plans with therapists
- Assists patients with registrations forms and any other required paperwork
- Reviews and updates patients demographics and obtains necessary information as required
- Processes payments on point of sale machine
- Assists with third party forms and letters
Requirements:
- Previous experience in a medical office, physiotherapy clinic is an asset
- Medical Office Administration certificate/diploma is considered an asset
- Administrative or customer service experience, including in a non-medical field is considered an asset
- Experience with PSS EMR software is an asset
- Experience with Jane appointment booking software is an asset
- Sound knowledge of medical terminology is considered an asset
- Computer proficiency including Microsoft office and email required, experience with electronic charting systems and/or fax
- Effective communication skills both oral and written English
- Ability to problem solve, multitask, prioritize and cope with frequent interruptions and deadlines in a calm manner
- Good organizational skills with a desire and the initiative to develop the full time position into a leadership role
- Ability to work independently with minimal supervision in a team atmosphere
- Ability to exercise good judgment and intuition
- Ability to ensure professionalism in all communications with existing and potential patients and deliver superior service to patients and colleagues
- Interest in exercise and healthy living an asset
