As a Receptionist-Administrative Clerk, you will be collaborating with the Transportation Program Supervisor and Senior Manager within Community Health and Wellness department of new strategic growth opportunities to expand capacity and grow programs and services.

In this role you will:

  • Receive telephone inquiries and determine the nature of the inquiry and redirect call or responds to routine inquiries.
  • Welcome and register walk-in clients and the general public and direct to appropriate destination.
  • Accept payments from walk-in clients and forward appropriate documentation and control the office “petty cash” and maintenance of the cheque logbook and submit a monthly report to accounting.
  • Accept and record donations, forward to accounting and mail out thank you letters.
  • Handle all facets of incoming and outgoing mails and fax and arrange for courier services as required. May be required to track or initiate follow-up activities.
  • Prepare letters, mass mailings, and fax according to the direction of the program coordinators
  • Complete data entry into the Client Information Management System (CIMS) as required.
  • Contact appropriate professionals for equipment service calls when necessary and maintain accurate records of the service calls.
  • Maintain an inventory of office supplies, order supplies when necessary with approval from Manager.
  • Assist with Transportation department scheduling duties and tasks.
  • Perform other duties as required

What we are looking for:

  • Post-secondary school education and one (1) but less than three (3) years of job-related work experience
  • Strong verbal and written communication skills
  • Strong interpersonal skills
  • Good organizational, time management and problem-solving skills
  • Customer Service experience is an asset
  • Working knowledge of standard office procedures and MS Office computer software system
  • Knowledge of the Client Information Management System (CIMS), and/or Trapeze (NOVUS) scheduling software are assets
  • This position requires a successful Canadian criminal record, reference check, valid provincial Driver’s license, and First Aid certification (training provided)

Working Conditions:

  • Duties are principally conducted at the Ancaster office of the Canadian Red Cross
  • Most of the work is performed in an office environment that is clean and comfortable
  • Hours of work will be 20 hours per week, Monday-Friday primarily from 12:30pm-4:30pm. Availability to work additional hours between 8:30am-12:30pm Monday to Friday is considered an asset.
