Job description: JLL is currently seeking a dynamic individual for the role of Senior Manager, Project Operations to provide reliable, timely, and professional support to the JLL Property and Asset Management (PAM) Construction Services group, leading day to day project administration activities for major capital projects in the public and private sectors. This is an important “client-facing” role that requires heightened situational awareness, diplomacy, sensitivity, and a solid business acumen. Our successful candidate will be a confident communicator, with the gravitas to liaise with a range of professionals and business partners. This position will require the ability to exhibit independent judgment to proactively plan, prioritize, and organize a diverse team and workload in a fast-paced environment. General Duties:

The Senior Manager, Project Operations is responsible for specific communication, establishing departmental policies and procedures, tracking, and project coordination activities for assigned client portfolios. This role also supports project flow, organization, coordination and tracking process across JLL PAM. The position is integral to the success of Construction Services group through the results of our work and efficiency in meeting our contract deliverables. We desire to make each project as smooth, seamless and stress-free as possible for us and our clients. This position also provides key support to the entire Construction Services team and serves the broader goals of PAM Canada to provide a positive, efficient and productive work environment through alignment with our values and mission. You will be responsible for performing certain duties commensurate with the nature of the Position, such duties shall include but not necessarily be limited to the following:

  • Motivate and mentor a team of Assistant Project Manager / Project Coordinator resources to support PAM Construction Services nationally.
  • Contribute expertise in a team-based work setting to various business opportunities conducted by PAM Canada employees.
  • SME level knowledge of Construction contract methods and insurance options available for Capital and Construction work.
  • Play a lead role in the implementation and development departmental process manuals and procedures.
  • Closely collaborate with PAM finance and Construction Services finance administrations to ensure we are driving best in class project tracking and reporting.
  • Contribute to ongoing professional business development activities.
  • Contribute to the Company achieving its gross revenue and net operating income objectives.
  • Contribute to the control of operating expenses (if applicable).

Specific Duties:

In particular, you will be responsible for carrying out the following duties specific to your Position:

  • Support Project Management resources on multiple projects and assignments.
  • Proactively coordinate project related issues on accounts or assignments.
  • Manage and mentor the national project support team as team lead.
  • Monitor and report on data accuracy for project funding and schedule for all projects.
  • Conduct and document all bi-weekly project meetings.
  • Manage and coordinate the team to track all project funding requests and Vendor Request For Proposals (“RFPs”).
  • Maintain accurate and consistent files, documentation and records.
  • Prepare/update project status reports, process invoices, update tracking reports, and maintain files for due diligence and financial tracking.
  • Demonstrate a proactive focus on meeting client and project requirements in a timely and efficient manner.
  • Demonstrate proficiency in the use and application of all PAM technology as required for assigned projects.
  • Assist and support the PAM team in meeting profit targets on a Regional and National level.
  • Comply with all JLL policies and procedures, including but not limited to ethics and business practice.
  • Co-ordinate and manage the support team to ensure all yearend financial closures are completed.
  • Work with IT Technology Leads to have new reports developed as needed for PAM Construction Services business.
  • Provide guidance to Senior PM’s, PM’s and PC’s on project administration.
  • Review Weekly and Monthly KPI reports for financial accuracy.
  • Provide training to support onboarding for PAM systems such as Procore, Yardi and others as needed.
  • Liaison with Property Management and/or PDS team to provide training on PAM Construction Services projects as needed.
  • Key contact for Analysts, PC’s and APM’s to co-ordinate day to day activities and provide direction on issues.
  • Liaison with JLL Finance regarding audits, reconciliations, invoices, and reporting.
  • Provide all communications for PAM Construction Services team regarding new procedures, policies, issues, etc. for projects and funding processes.
  • Review all CCDC agreements to ensure completeness and accuracy. Coordinate JLL PAM Construction Services contract executions based on established DOAs.
  • Work with PAM Canada Clients for new and revised documents, reporting and financial programs, KPIs and reporting.
  • Establish timeline and process to off-board individual projects as their contracts / scope of work end.
  • Determine documentation/reports to be delivered to client at the end of the project.
  • Coordinate and deliver documents/reports to be delivered to client.
  • Consider, suggest, test, and collaborate with other members on project management and communication tools and systems to better serve clients, respond to industry changes, and improve the team’s work experience.
  • Meet deadlines as assigned, communicating with the client and team members when deadlines require changes.

  • 10+ years of local experience pursuing and delivering or administering capital “buildings” projects, including new construction, renovations, fit-outs, and/or upgrades.
  • Possess “Owner Representative” project management experience working directly for a Client in a fee-for-service consulting business environment.
  • Demonstrated client relationship management skills.
  • Strong analytical skills and solution development.
  • Outstanding organizational and time management skills.
  • Expert verbal and written communication skills.
  • Attention to detail and ability to drive consistency in a team or on a project.
  • Computer proficiency in Word, Excel, PowerPoint, Adobe and Microsoft Project.
  • Scheduling, estimating, cost control experience.
  • Ability to excel in a fast-paced and demanding environment.
  • Travel as needed for the department.

Preferred Attributes

  • Project Management, Engineering, Architecture, or similar education is an asset.
  • Lean Six Sigma or similar professional designation is an asset.
  • Project Management Professional (PMP) is an asset.
  • Sustainability designation such as LEED, CSP, ENV SP is an asset.
  • Excellent interpersonal skills; articulate, responsive, and highly organized.
  • Skilled at MS Office suite of software (Word, Excel, PowerPoint)
  • Experience with MS Project or other scheduling software is an asset.
