DUTIES AND RESPONSIBILITIES:

Provides Academic Guidance by:

  • Supporting student success by meeting with and developing academic plans for professional and part-time students, as well as for current and potential students taking General Arts & Science courses, communication courses and general education or breadth electives as part of their program of study.
  • Referring students to college resources, e.g., study skills workshops, health and wellness, academic integrity resources, peer
  • Resolving issues relating to DC students taking courses hosted by other colleges via OntarioLearn.
  • Providing information for students transferring to other programs.
  • With student consent, meeting with parents/external agencies to explain student’s academic status, academic policy, student rights and responsibilities, academic options.
  • Thoroughly document all student interactions, maintaining records of information provided to students, date(s) and means of contact, i.e. email, voicemail, appointment as well recommended referrals, strategies, academic options.
  • Advocating for students in student success related matters, for example, with the executive dean/dean/associate dean in exceptional matters or with the instructor/facilitator/professor and/or program team.
  • Informing students regarding the application and interpretation of college policies.
  • Ensuring timely and accurate information is provided upon request and communicated in an efficient, professional, and customer focused manner.
  • Assisting in verifying and updating some portions of student records.
  • Informing students of academic choices and communicating processes for both Registration and Admission related inquiries.

Provides Administrative Services by:

  • Identifying courses with high failure rates and escalating the matter to the appropriate Manager or associate dean.
  • Registering students using Banner and processing documents such as return to full time studies applications.
  • Confirming student eligibility for field placement.
  • Assisting with the review of graduation status, as required.
  • Compiling data from student audits to determine course offerings and assist with academic planning for individual students.
  • Running reports for review and action by the Dean.
  • Sending out student communications regarding upcoming deadlines.
  • Assisting with special projects such as collecting and summarizing data.
  • Providing office support as needed.
  • Assisting with student recruiting by participating in a range of events.
  • Supporting student retention, including assisting with the planning of activities focused on improving retention.
  • May provide support for field placement.

Additional Responsibilities

  • Some evening and weekend duties required, including evening office coverage.
  • Assisting with student recruiting by participating in events such as: Open House, Program Information Nights, Student Orientation, and Student Services Events.
  • Attending divisional, program, and other Faculty meetings, as appropriate
  • Attending regular group meetings and inviting various college representatives to discuss policies/procedures/practices to ensure currency.
  • Other related duties as assigned.

QUALIFICATIONS: * Minimum of a two-year diploma with a strong emphasis on human relations and interpersonal communications skills.

  • Minimum five years’ experience in an academic office environment with a focus on student interaction and service.
  • Proven networking skills along with extensive working knowledge of programs and related policies and pathway requirements are essential.
  • Must be proficient in OneNote, Excel, and have excellent general computing skills.
  • Must have the ability to multi-task and be circumspect with confidential information.
  • Demonstrated ability to work collaboratively with team members and independently.
  • Evidence of adaptability, flexibility and innovative problem-solving skills.
  • Knowledge of Banner (SIS), Cognos, DC Connect, OntarioLearn, Banner web reports, MS Office.
  • Must be self-directed, motivated and have excellent written and verbal communication skills.

Required Skills

Payband: J; Starting Rate: $41.12; Four Year Rate: $47.67

Required Experience

Hours: 35 hours per week (1) one hour lunch; Mon – Fri (8:30 am – 4:30 pm)

Reporting To: Senior Operations Manager
